Starting Pay: Up to $23.00/hour (Based on experience)


After Hire Earning Potential: Performance-based increases up to $32.00/hour

Job Summary

We are seeking a high-level Administrative Coordinator to serve as the primary strategic support for the Facility Director and supervisory team. This role requires exceptional discretion, independent judgment, and the ability to oversee front-office operations. You will ensure the seamless delivery of advanced secretarial and administrative functions while supervising a team of clerical support staff within a fast-paced rehabilitation environment.


Key Responsibilities


Executive Support & Confidential Operations

  • Leadership Liaison: Serve as the direct administrative partner to the Facility Director; manage complex calendars, schedule high-level meetings, and handle sensitive correspondence with a high degree of confidentiality.
  • Personnel Management: Supervise clerical support staff, including reception, transcription, and billing. Assist in performance evaluations, track compliance testing, and manage the onboarding/interview process for new hires.
  • Workflow Optimization: Implement office procedures and quality control mechanisms to ensure all departmental work meets strict deadlines and accuracy standards.

Fiscal & Revenue Cycle Coordination

  • Financial Oversight: Assist with Medicare and non-Medicare billing and collections. Manage point-of-service payments, enter adjustments, and ensure secure bank deposits.
  • Reporting & Analytics: Tabulate and present statistical data, including year-end statistics, missing charge reports, and Work Partners data for senior management.
  • Resource Management: Direct all purchasing and inventory functions following organizational guidelines; manage mileage and expense reimbursement requests.

Clinical & Patient Coordination

  • Patient Flow Management: Oversee patient registration, insurance verification, and authorization processes. Ensure the front office provides a "patient-first" experience from arrival to treatment area escort.
  • Records & Documentation: Maintain the integrity of patient charts and electronic health records (EHR). Execute Notary Public duties as required.
  • Payroll & Benefits Support: Serve as the backup timekeeper for facility payroll; track PTO requests and ensure adequate office coverage during staff absences.

Required Qualifications

  • Education: Bachelor’s degree in Healthcare Administration, Business, or a related fiscal field. Equivalent years of high-level experience will be considered.
  • Experience: 3–5 years in an administrative management or fiscal setting.
  • Technical Skills: Epic experience is strongly preferred. Advanced competency in PC applications and health record systems is required.
  • Specialized Knowledge: Deep understanding of insurance verification, medical terminology, and authorization processes.
  • Certification: Must hold (or be willing to obtain) Notary Public commission.
