Job Description
Keystone Capital Group Ltd. ("KCG") is a licensed private mortgage lender and administrator based in Halifax, Nova Scotia. We specialize in alternative lending solutions for borrowers who may not qualify with traditional financial institutions. KCG also administers Keystone Mortgage Investment Corporation ("Keystone MIC" or "KMIC"), an investment vehicle that enables investors to earn passive monthly income through a diversified pool of private mortgages.
Keystone sources short-term mortgage financing through licensed Mortgage Brokers, secured by residential properties across Atlantic Canada (Nova Scotia, New Brunswick, Prince Edward Island, and Newfoundland). Our lending approach emphasizes speed, flexibility, and asset-based underwriting, allowing us to provide creative financing solutions for clients with thin credit, self-employment income, or unique property types. Position Overview Reporting directly to the President, the Operations Manager is responsible for overseeing the day-to-day operational management of Keystone’s mortgage portfolio, servicing functions, enforcement activities, regulatory administration, and Mortgage Automator platform administration.
This role serves as the operational lead for borrower management throughout the lifecycle of each mortgage, including loan servicing, renewals, delinquency management, legal coordination, enforcement oversight, licensing administration, and operational reporting. The Operations Manager will work closely with underwriting, accounting, legal counsel, brokers, compliance providers, regulators, and investors to ensure that Keystone’s portfolio is managed efficiently, professionally, and in accordance with internal policies, regulatory obligations, and risk management standards. While the primary focus of this role is operations and servicing, the successful candidate must possess strong underwriting knowledge and may assist with underwriting and deal analysis during periods of elevated volume.
This position requires a highly organized and solutions-oriented individual with strong mortgage industry experience, operational leadership skills, and the ability to manage sensitive borrower and enforcement situations professionally. Key Responsibilities Oversee day-to-day mortgage servicing operations, renewals, delinquency management, and borrower communications. Act as the escalation point for complex servicing issues and higher-risk accounts.
Licensing & Regulatory Administration Coordinate licensing renewals, regulatory filings, and compliance-related documentation. Liaise with regulators and external compliance providers to ensure ongoing compliance. Mortgage Operations & Systems Lead operational administration of Mortgage Automator and ensure data integrity across the portfolio.
Develop reporting and process improvements to enhance operational efficiency. Enforcement & Recovery Management Manage delinquent and defaulted mortgage files, including enforcement and recovery strategies. Coordinate with legal counsel and third-party service providers throughout the recovery process.
Third-Party Relationship Management Maintain relationships with brokers, lawyers, appraisers, insurers, and other service partners. Ensure documentation and operational requirements are completed accurately and efficiently. Accounting & Reporting Support Assist with operational reporting, cash flow coordination, and servicing reconciliations.
Support management with portfolio and servicing-related financial information. Monitor portfolio risks, including delinquencies, maturities, insurance expiries, and regulatory requirements. Support FINTRAC, AML, KYC, privacy, and internal compliance initiatives.
Assist with mortgage underwriting and deal analysis during periods of elevated volume. Provide operational and risk‑management input on lending decisions. Skills & Qualifications 5+ years of experience in mortgage lending, loan servicing, underwriting, private lending, mortgage operations, or regulatory administration.
Strong understanding of private mortgage lending and mortgage servicing processes. Prior underwriting experience is required. Experience with Mortgage Automator (or similar) software is considered a major asset.
Strong understanding of mortgage enforcement, delinquency management, and legal recovery processes. Experience coordinating licensing renewals, regulatory filings, or compliance administration is considered a strong asset. Excellent organizational and time‑management skills with strong attention to detail.
Ability to manage multiple priorities in a fast‑paced environment. Strong written and verbal communication skills. Professional and confident communication style when dealing with borrowers, lawyers, brokers, regulators, compliance providers, and investors.
Analytical mindset with strong operational problem‑solving abilities. Proficiency with Microsoft Office, particularly Excel. Knowledge of Atlantic Canadian mortgage markets considered an asset.
Familiarity with FINTRAC, AML, privacy, and provincial mortgage regulatory requirements is considered an asset.
