Job Description

Key Responsibilities: (a) Office/Facilities Administration Manage and supervise daily office operations to ensure efficiency and discipline. Maintain office supplies, equipment, and inventory; reorder as needed. Oversee housekeeping, security, and facility maintenance staff incl.

HVAC. Ensure the office premises are clean, safe, and well-maintained at all times. (b) Vendor Management Identify, onboard, and manage vendors for office supplies, AMC contracts, housekeeping, travel, catering, and other services. Negotiate contracts and service agreements to ensure cost-effectiveness.

Monitor vendor performance and ensure timely delivery of services as per SLAs. Process vendor invoices and coordinate with the Finance team for timely payments. Maintain an updated vendor database and contracts tracker. (c) Compliance & Documentation Ensure timely renewal of office licenses and AMC agreements.

Maintain proper filing systems both physical and digital. (d) Budget & Cost Management Track and manage the facilities budget on a monthly basis. Identify cost-saving opportunities without compromising on quality. Prepare monthly MIS reports on expenses for management review.

Requisites: 5-7 years of experience in office administration or facilities management. Prior hands-on experience in vendor management is mandatory. Proficiency in MS Office (Word, Excel, Outlook) and Google Workspace.

Strong organizational and multitasking skills. Good verbal and written communication skills. Ability to work independently and manage multiple priorities under pressure.

High level of integrity and attention to detail.
