Job Description
The Executive โ Admissions Operations will be responsible for managing and coordinating the day-to-day admissions processes, ensuring smooth execution of application, documentation, communication, counselling support, and enrolment activities.
Key Responsibilities / KRAs
1. Admissions Process Management
- Manage the end-to-end operational activities related to student admissions.
- Coordinate application processing, document verification, eligibility checks, and admission status updates.
- Ensure all applications and student records are accurately updated in the relevant systems.
- Track applications from enquiry/application stage through admission and enrolment.
- Ensure timely closure of pending applications and documentation.
2. Applicant Coordination & Communication
- Communicate with applicants and parents through phone, email, WhatsApp, and other approved channels.
- Provide accurate information regarding programmes, eligibility, admission process, timelines, fees, and documentation.
- Follow up with applicants for pending documents, applications, payments, and other admission formalities.
- Address routine applicant queries and escalate complex issues to the concerned manager.
3. Admission Counselling Support
- Support the admissions team in counselling prospective students and parents.
- Coordinate counselling sessions, campus visits, interviews, and admission-related interactions.
- Maintain regular follow-up with prospective students to improve conversion from application to enrolment.
- Assist in identifying and tracking high-potential leads.
4. Application & Documentation Management
- Verify submitted documents for completeness and accuracy.
- Maintain organised records of applications, offer letters, admission forms, and supporting documents.
- Coordinate with relevant departments for verification and approval of admission cases.
- Ensure compliance with institutional admission policies and processes.
5. CRM / MIS & Data Management
- Maintain accurate and up-to-date applicant and admission data in the CRM/ERP system.
- Generate daily/weekly/monthly admissions reports as required.
- Track lead status, application status, conversion, enrolment, and pending activities.
- Ensure data accuracy and timely updating of all admissions records.
- Support management with admissions MIS and analytical reports.
6. Coordination with Internal Teams
- Coordinate with Finance for fee payment confirmation and reconciliation of admission-related transactions.
- Coordinate with Program Office/Academics for student onboarding and programme-related requirements.
- Work closely with Marketing and Admissions teams to ensure effective lead management.
- Coordinate with other departments for smooth student onboarding after admission confirmation.
7. Student Onboarding
- Coordinate the post-admission process, including fee confirmation, document submission, registration, and joining formalities.
- Ensure students receive timely communication regarding orientation, induction, academic schedules, and other onboarding requirements.
- Maintain accurate records of confirmed and enrolled students.
8. Admissions Targets & Conversion
- Support the admissions team in achieving programme-wise admission and enrolment targets.
- Monitor follow-up activities and ensure timely engagement with leads.
- Contribute towards improving application-to-admission and admission-to-enrolment conversion ratios.
- Participate in admission drives, counselling events, education fairs, open houses, and other outreach activities as required.
9. Compliance & Process Improvement
- Ensure adherence to institutional admission policies and approved processes.
- Maintain confidentiality and integrity of applicant/student information.
- Identify gaps in admissions processes and recommend improvements.
- Support the implementation of standard operating procedures for admissions operations.
Qualifications
- Graduate degree in any discipline.
- MBA/PGDM or relevant qualification will be an added advantage.
- 1โ3 years of experience in admissions, education counselling, student services, CRM operations, or a similar role.
- Experience in an educational institution/business school is preferred.
