Job Description
Seeking an enthusiastic and organized Legal Assistant to join our client's growing legal team.
The ideal candidate will have a Legal Assistant or Law Clerk education, complemented by previous experience in a corporate environment, and a strong willingness to learn and contribute. They will be highly organized, detail-oriented, team-focused, and possess strong communication and technical skills.
Duties and Responsibilities include, but are not limited to:
- Providing administrative and clerical support to members of the legal team.
- Preparing, formatting, proofreading, and processing correspondence, documents, forms, and other materials.
- Managing incoming inquiries and correspondence, responding as appropriate and following up as required.
- Opening, maintaining, organizing, and closing electronic and physical files in accordance with established procedures.
- Maintaining accurate records, databases, and filing systems.
- Gathering and compiling information from various sources to support reports, projects, and departmental needs.
- Assisting with document preparation and organization for meetings, appointments, and other activities.
- Coordinating calendars, scheduling meetings and appointments, and arranging meeting rooms as required.
- Preparing and coordinating electronic and physical document signing packages.
- Assisting with the preparation and submission of departmental expenses and invoices.
- Coordinating couriers, mail, document delivery, and other administrative logistics.
- Supporting the legal team with technology, document management, and general office needs.
- Working collaboratively with internal departments and external contacts to ensure information and materials are provided in a timely manner.
- Handling confidential and sensitive information with discretion and professionalism.
- Performing other administrative and legal support duties as required.
Qualifications and Required Skills / Experience:
- Diploma (Legal Assistant or Law Clerk) or Degree in a related field, or an equivalent combination of academic and practical experience.
- Previous experience working in administration in a legal setting would be preferred.
- Capable in meeting deadlines, working well under pressure, and taking initiative using sound judgment.
- Strong interpersonal and communication skills (both verbal and written).
- Excellent organizational/follow up skills; attention to detail, proofreading, and accuracy are required.
- Professional client and telephone manner, and a proven track record of working with confidential information.
- Strong problem-solving and conflict resolution skills, the ability to work with little supervision, and be internally motivated.
- Demonstrated commitment to privacy and ethical conduct.
- Flexibility and willingness to exercise initiative and good judgment.
- Ability to effectively prioritize and organize tasks.
- Excellent technical proficiency in Microsoft Office applications and knowledge of legal systems.
Please note role is based full-time onsite in the corporate office.
