We are now inviting applications from interested candidates for a Customer Service Administrator position, based in Derrimut, VIC.
About the Role
We are seeking a Customer Service Administrator to be based at our Derrimut office. Reporting to the Customer Service Supervisor, this role is responsible for providing outstanding customer service through efficient order processing, responding to customer enquiries, resolving issues, and working closely with the Sales, Warehouse and Finance teams to ensure a seamless customer experience.
This position is responsible for all facets of customer service, from processing customer orders to finalizing customer orders thru invoicing. Maintaining backorders, forward orders, special requirement orders. Liaising with customer as well as the relevant sales rep.
Credits, corrections, new customer set up and maintenance, data entry, stock transfers, as well as consignment stock invoicing and reconciling. Answering all incoming calls, other general office & ancillary duties as requested.
Process and verify the accuracy of customer orders in a timely and efficient manner to ensure Jotun's on-time delivery performance objectives are achieved.
Receive and enter orders for collection or delivery, ensuring proper document flow control.
Follow up with the warehouse regarding customer delivery enquiries and reports.
Dispatch invoices and credit notes to customers and follow up to ensure they are received in a timely manner.
Perform data entry of inventory transactions.
Verify, enter and review system pricing against customer purchase orders and sales orders, attaching relevant supporting documentation where required.
Process customer returns in accordance with Jotun's Guidelines and Procedures.
Ensure order information is accurate to facilitate invoice processing.
Resolve customer and partner invoice enquiries and discrepancies.
Work closely with the Finance Department to resolve disputed credit items.
Ensure all exception and promotional customer pricing complies with Jotun's guidelines.
Log customer complaints in the company's customer complaint database
