Nordic Operations Manager - Krakow, Poland

This role is responsible for coordinating and governing key Nordic operational, risk, quality assurance, business continuity, and real estate activities.

The position acts as a central point of contact between Nordic countries, EMEA partners, and global functions, ensuring regulatory compliance, operational resilience, and consistent ways of working across the Nordics.

The role is also responsible for the ownership and lifecycle management of assigned business applications. The role acts as a key interface between the business, Solution Lines, and Technology to ensure that applications are compliant, fit for purpose, and aligned with business requirements.

Our office is situated in Cracow, and we embrace a hybrid working model (50/50).

What the day will look like:

Quality Assurance (Nordics)

  • Develop and manage Nordic QA/AC process.
  • Own the quarterly Quality Assurance (QA/QC) reporting for all Nordic countries to the EMEA Risk SharePoint.
  • Coordinate collection of QA material from Sweden, Finland, Norway, and Denmark and ensure deadlines are met.
  • Review QA results, assess pass/fail outcomes based on defined criteria, and identify key findings.
  • Consolidate country-level QA data for reporting, including success rates, findings, and remediation plans.
  • Maintain Nordic QA documentation structure and support future Nordic QA setup post-implementation of the tool Aon Client Manager.

Business Continuity & Crisis Management

  • Function as Nordic coordinator for Business Continuity and Crisis Management activities.
  • Maintain and update BCP plans within the Continuity Logic (Krakow) system, including joiner and leaver management.
  • Perform annual reviews and updates of BCP plans, with particular responsibility for CRS Sweden.
  • Own the annual Swedish Crisis Management Plan (Krishanteringsplan), ensuring accuracy of roles, contacts, and governance.
  • Plan and facilitate the yearly crisis plan walkthrough for Sweden and complete required reporting back to Krakow.

Real Estate Coordination (Nordics)

  • Act as Nordic point of contact for Real Estate matters in collaboration with Nordic COO and global Real Estate.
  • Coordinate office leases, renewals, refurbishments, and relocations across Nordic countries.
  • Engage with local country stakeholders and vendors on office-related initiatives.
  • Maintain documentation and oversight of Nordic real estate activities.

Templafy & Access Governance

  • Act as Templafy super user and Nordic access approver.
  • Review and approve or reject access requests for Templafy and Nordic shared folders, ensuring alignment with Nordic organization and reporting lines.
  • Coordinate with IT, Templafy teams, and access administrators to maintain compliant access governance.

Nordic Operations Projects

  • Responsible for leading and delivering minor Nordic projects, with end to end accountability, and for contributing as an active project team member in larger, cross functional and pivotal initiatives.

Application Ownership

  • Own and manage assigned business applications, ensuring compliance with Solution Line requirements.
  • Clearly define and uphold the application ownership mandate, including ownership of shared drives and client folders.
  • Ensure applications are correctly registered and maintained in the CMDB, with clarity on ownership and accountability.

Business Partnership

  • Act as a Business Application Partner, working closely with partners across the business to understand needs and challenges.
  • Identify, document, and specify business requirements and translate them into clear input for Technology and development teams.
  • Coordinate with the Technology function via the Service Delivery Manager to support development, changes, and enhancements.
  • Work closely with Nordic COO, Nordic CEOs, Country Leadership, Operations, Risk, IT, Finance, and EMEA stakeholders.
  • Ensure clear governance, documentation, and audit-ready processes across all areas of responsibility.
  • Drive continuous improvement initiatives across operations, risk, and quality processes.

Governance, Risk & Compliance

  • Conduct and/or support regular access reviews of carrier portals and internal tools (including business systems, portals, shared folders, and collaboration platforms).
  • Own and follow the annual data protection and data deletion processes in accordance with GDPR and internal data governance requirements.

Access & Lifecycle Management

  • Oversee access management reviews for assigned applications and tools, ensuring appropriate access and segregation of duties.
  • Support onboarding, changes, and offboarding processes from an application ownership perspective.

Skills and experience that will lead to success:

  • Fluent English
  • Experience in operations, risk management, governance and/or quality assurance
  • Experience coordinating across multiple countries or complex matrix organizations.
  • Understanding of ERM, Risk Committees, and regulatory reporting.
  • High attention to detail, structure, and documentation.
  • Confident facilitator of meetings and workshops.
  • Stakeholder management and communication skills.
  • Comfortable working with SharePoint, reporting tools, and enterprise systems.
  • Structured, analytical, and methodical.
  • Proactive and comfortable driving work independently.
  • Able to balance operational execution with strategic improvement initiatives.
