Fund Operations & Office Manager
2 days per week | Sydney CBD


We are a Sydney-based boutique hedge fund seeking an experienced, hands-on Fund Operations & Office Manager.


The role will take ownership of the day-to-day operations of the business, excluding investment research and marketing. Its purpose is to reduce the operational workload on the investment team, improve business efficiency and ensure key service providers are meeting the needs of the business.


This is a broad role combining fund operations, service-provider oversight, process improvement and practical office management. It is suited to someone who enjoys working independently and is willing to handle both important operational matters and routine requirements in a small, high-performing business.


Key responsibilities


Fund operations


Manage the day-to-day relationship with the fund administrator and other key service providers.


Maintain an operational issue register and drive matters through to resolution.


Track investor applications, redemptions and related operational workflows.


Maintain monthly reconciliation checklists and operational controls.


Prepare a monthly service-provider scorecard.


Maintain the AFSL compliance calendar and track required actions.


Liaise with auditors, accountants, compliance advisers and other external providers as required.


Office and business operations


Manage suppliers, facilities, office administration and general business requirements.


Maintain an office action register with clear owners and due dates.


Support the smooth day-to-day running of the business.


Process improvement and reporting


Prepare a concise monthly operations report for the partners.


Document and improve operational processes.


Identify operational risks, control gaps and inefficiencies.


Develop practical systems, checklists and reporting disciplines.


About you


You will ideally have experience in one or more of the following areas:


Fund operations or investment-management operations.


Fund administration, custody, registry or fund accounting.


Financial-services audit, compliance or operational risk.


Managing external service providers and resolving operational issues.


You will be:


Highly organised, accurate and accountable.


Comfortable taking ownership and following matters through to completion.


Able to work independently and exercise sound judgement.


Confident working with reconciliations, registers, checklists and deadlines.


Clear and concise in your written communication and reporting.


Practical and willing to undertake both senior operational work and routine office tasks.


Experience with a fund manager, fund administrator, custodian, registry provider, accounting firm or other financial-services business would be highly regarded.


This is a contract or part-time position working two days per week from our Sydney CBD office. The responsibilities are expected to evolve as the business grows.
