Job Description

8Architecture & Design is a rapidly expanding Melbourne studio designing some of Australia’s best‑known food & beverage, hospitality and commercial venues. We work with national brands and major venue operators on projects spanning restaurants, pubs, QSR rollouts and commercial fitouts. We’re looking for an experienced, organised and proactive Office Manager to keep the studio running smoothly.

This is a genuinely varied role at the centre of the business. You’ll own our day‑to‑day finance administration, support the partners directly, and be the go‑to person for everything that keeps a busy design studio moving.

Role Description

Finance & Accounts - Managing accounts receivable and payable, including invoicing, bill processing and payment runs; daily and weekly reconciliations in Xero and our Excel; raising and tracking purchase orders; processing reimbursements; and preparing management reporting for the partners.

Fee Proposals & Project Setup - Preparing and issuing fee proposals from our templates, managing execution via DocuSign, and setting up new projects across our systems (Xero, Programa, Excel and SharePoint).

Project Administration - Supporting the team with permit and authority paperwork, and following up consultants to keep projects moving.

People & Office - Running the day‑to‑day of the studio: travel bookings, supplies, staff onboarding and equipment, the leave calendar, and fortnightly timesheets.

Partner Support - Diary and calendar management for the two partners, plus ad‑hoc administrative support across the business.

Qualifications

  • Strong communication skills for interacting with clients, visitors, supplies, and internal team members.
  • Experience in administrative assistance and office administration to manage daily operations, scheduling, and documentation.
  • Proficiency with office equipment and related systems to ensure smooth functioning of the workspace.
  • Customer service skills to provide a welcoming and professional experience for all stakeholders.
  • Excellent organisational and time‑management abilities, with attention to detail and accuracy.
  • Comfort working in a fast‑paced, design‑focused environment and supporting multiple stakeholders.
  • Proficiency with Microsoft Word, Excel and SharePoint; Xero, DocuSign and other common office software and basic digital file management.
  • Previous experience in an office management or administrative role; experience in architecture or design studios is preferred.
  • Relevant qualification in business administration, office management, or a related field is preferred.
