Overview
We are seeking a customer‑focused and proactive Customer Service Representative to join our team. In this role, you will provide exceptional service to customers by managing enquiries, processing orders accurately, resolving issues efficiently, and building strong relationships with both internal and external stakeholders. You will play a key role in ensuring customer expectations are consistently met while maintaining high levels of accuracy, responsiveness, and professionalism.
Key Responsibilities
- Provide exceptional customer service across phone, email, online platforms, and other communication channels.
- Respond to customer enquiries relating to orders, products, pricing, promotions, availability, and delivery timeframes.
- Process customer orders accurately and efficiently within required service levels.
- Review and validate orders before entering them into the ERP system.
- Resolve customer issues promptly, aiming for first‑contact resolution wherever possible.
- Maintain accurate customer records and update customer information as required.
- Manage customer enquiries through to completion, ensuring all open queries are followed up.
- Process customer orders, purchase orders, credits, returns, quotations, and new account applications in accordance with company procedures.
- Update customer accounts and maintain accurate system data.
- Complete general administrative tasks including filing, scanning, mailing and document management.
- Assist with additional administrative duties as required by the Customer Service Team Leader or Manager.
- Build and maintain positive working relationships with customers and internal teams.
- Liaise regularly with warehouse teams regarding deliveries, stock issues and order discrepancies.
- Liaise regularly with sales teams to support customer requirements.
- Liaise regularly with IT for system‑related issues when required.
- Communicate professionally and effectively with all stakeholders.
Skills & Experience
Essential- Previous experience in a customer service role.
- Excellent verbal and written communication skills.
- Strong computer literacy and ability to learn new systems quickly.
- High attention to detail with accurate data entry skills.
- Excellent organisational and time management skills.
- Ability to manage multiple priorities in a fast‑paced environment.
- Strong problem‑solving skills and a customer‑first approach.
- Ability to work collaboratively within a team.
- Experience within healthcare, pharmaceutical or FMCG industries.
- Experience using ERP or order management systems.
- Qualification in Customer Service, Business Administration or a related discipline.
