We are currently seeking an experienced and motivated Administration Assistant to support the team at one of our Retirement Living Estates in Bull Creek.

RAAFA is one of the larger not for profit and charitable serviceproviders within Western Australia. With over 1000 staff, we strive to provide services that go Above and Beyond to our members and stakeholders across the Seniors Living and veteran community. About the role

This role will be based at our Gordon Lodge Estate at Bull Creek on a permanent part time basis.

Responsibilities

  • Be responsible for the management of all incoming telephone and email enquiries in accordance with RAAFA principles of services;
  • Provide administrative assistance to support residents, family and staff in the waitlist and admission of new residents to the Lodge;
  • Provide administrative assistance for staff recruitment and orientation activities as directed by Facility Manager;
  • Co-ordinate appointments for Facility Management Team or Allied Health professionals as required;
  • Maintain facility archiving system to ensure that all records are archived in a timely and professional manner;
  • Ensure all documents are prepared and presented to a professional standard and that document control procedures are strictly adhered to;
  • Maintain confidential storage systems (including electronic) for any information pertaining to staff, residents, family and service operations;
  • Coordinate the receipt of and coding of invoices according to monthly cut off dates.
  • Coordinate the distribution and processing of the mail service;

Working hours

Permanent part-time. Hours are:

Week 1:

  • Thursday: 9:00 AM โ€“ 5:00 PM
  • Friday: 9:00 AM โ€“ 5:00 PM

Week 2:

  • Friday: 9:00 AM โ€“ 5:00 PM

Saturday: 10:00 AM โ€“ 2:00 PM

Useful knowledge, skills and experience

  • Intermediate skills in Microsoft Word, Excel, Outlook, and Publisher
  • Experience in an Administration role or Reception role is preferred
  • Well-developed verbal, written and interpersonal communication skills
  • Excellent organisational and time management skills
  • The ability to work independently and within a team environment
  • A commitment to personal self-development
