Job Description

The Office Manager is responsible for supporting the Operations Manager in the day-to-day administration and coordination of business operations. This role ensures the efficient functioning of the office, assists with operational planning and reporting, manages administrative processes, and acts as a key point of contact between office staff, clients, suppliers, and management.

The successful candidate will be highly organized, proactive, and capable of managing multiple priorities while maintaining accuracy and professionalism.

Key Responsibilities

Administrative Support

Provide direct administrative support to the Operations Manager.

Prepare reports, correspondence, presentations, and operational documentation.

Manage calendars, meetings, travel arrangements, and appointments.

Maintain filing systems, records, and company databases.

Assist in the development and implementation of office procedures and policies.

Office Management

Oversee daily office operations to ensure efficiency and productivity.

Coordinate office supplies, equipment maintenance, and facility requirements.

Manage incoming calls, emails, and correspondence.

Ensure office compliance with company policies and procedures.

Support workplace health and safety initiatives and maintain relevant records.

Operational Support

Assist with scheduling and coordinating operational activities and resources.

Monitor and track project and operational progress.

Support the preparation of operational budgets, forecasts, and performance reports.

Liaise with suppliers, contractors, and service providers.

Assist with procurement activities, purchase orders, and invoice processing.

Human Resources and Personnel Support

Assist with employee onboarding and induction processes.

Maintain personnel records and training documentation.

Coordinate staff meetings, training sessions, and company events.

Support leave management and workforce scheduling activities.

Communication and Coordination

Act as a liaison between management, employees, clients, and external stakeholders.

Follow up on action items and operational tasks to support project completion.

Maintain confidentiality regarding company and employee information.

Skills and Experience

Previous experience in an Office Manager, Administration Manager, or Senior Administrative role.

Strong organizational and time management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Ability to manage multiple tasks and meet deadlines.

Strong attention to detail and problem-solving abilities.

Professional and customer-focused approach.

Experience supporting operations, maintenance, manufacturing, construction, or industrial businesses.

Knowledge of procurement, invoicing, and basic financial administration.

Experience with ERP, CRM, or business management software.

Understanding of workplace health and safety requirements.

Qualifications

Certificate IV or Diploma in Business Administration, Management, or a related field preferred.

Relevant industry experience may be considered in lieu of formal qualifications.
