Role Overview

You will be the organisational heartbeat of our Property Services Leadership Team and the steward of a smooth, welcoming London office. In this varied, hands‑on role, you’ll blend complex diary and stakeholder management with polished office operations, thoughtful event coordination, and administrative excellence.

Acting as the central coordination point, you will anticipate needs, remove friction, and keep leaders operating at pace. You’ll be a trusted contact for internal and external stakeholders, a calm problem‑solver who spots issues early, and the owner of a positive, well‑run workplace where people can do their best work.

Approachable and confident, you’ll build strong relationships at all levels, take ownership from start to finish, and thrive in a dynamic, fast‑moving environment.

ROLE EXPECTATIONS

Most days, you’ll balance proactive executive support with running the office: controlling complex calendars, triaging priorities, preparing materials, coordinating meetings and events, and ensuring the workspace, supplies, and systems are in great shape. You’ll field queries, connect the dots across teams and suppliers, and jump in wherever needed to keep operations smooth. You’ll continuously look for small improvements that add up to a better, more efficient experience for leaders and colleagues.

  • Leadership diaries are flawlessly managed, with priorities protected and meetings well‑prepared.
  • The London office runs smoothly, is well‑presented, and consistently receives positive feedback.
  • Stakeholders feel informed, welcomed, and confident their requests are handled promptly and professionally.
  • Issues are anticipated and resolved early, with clear communication and minimal escalation.
  • Team events, offsites, and visits are organised end‑to‑end, on budget, and with strong attendance and impact.
  • Processes, templates, and routines are refined to save time and improve consistency.

How You'll Spend Most Of Your Time

  • Managing complex calendars, meeting logistics, agendas, and briefing materials for senior leaders.
  • Running day‑to‑day office operations, including supplies, facilities coordination, H&S routines, and vendor liaison.
  • Coordinating team events, leadership offsites, visitor hosting, and travel logistics.
  • Handling inbox triage, document preparation, expense processing, and light reporting.
  • Acting as a first point of contact for internal teams and external partners, ensuring timely responses and follow‑through.
  • Spotting and delivering process improvements that enhance efficiency and the office experience.

  • Building simple tools, templates, or checklists that streamline admin and operations.
