Service Support Administrator
Effective April 1, 2026, Toyota Automated Logistics brings together Bastian Solutions, Vanderlande’s warehousing business, and viastore under one unified brand. Role Overview
As a Service Support Administrator you will provide essential administrative, financial and operational support to service contract teams across Australia and New Zealand. You will help ensure the smooth delivery of services across highly automated warehouse facilities while supporting contract governance, vendor management, customer administration and employee support activities.
Your Impact
- Maintain accurate service contract records, documentation and approvals in line with contractual, regulatory, safety and audit requirements.
- Support governance and compliance activities through effective record‑keeping and timely administrative processes.
- Coordinate vendor, OEM and subcontractor activities including quotations, purchase orders, invoicing, compliance management and vendor liaison.
- Create and manage service orders while tracking actual labour and costs against approved budgets and quotations.
- Coordinate technician training, licence renewals and training schedules to support workforce capability development.
- Provide administrative support to employees, including travel arrangements, uniforms, mobile devices, laptops, vehicle coordination and visitor logistics.
- Assist site managers with employee engagement initiatives, communications, safety campaigns and operational support activities.
- Provide high‑level support to senior leaders, manage confidential information and assist with facilities management activities.
- Contribute to process improvements, support knowledge sharing across the team and assist junior team members as required.
- Act as a key point of contact for administrative enquiries and maintain a safe, organised and efficient work environment.
- Monitor unpaid invoices and proactively follow up with customers to support cash‑flow management.

- Experience in procurement is desirable, ideally within a service‑oriented industry.
- Proficient computer skills, including MS Office and internet‑based applications.
- Strong attention to detail and accuracy in work.
- Effective time management, planning and organisational skills, with the ability to handle multiple priorities.
- Ability to work collaboratively within a team, as well as independently when required.
- Clear and professional communication skills, both written and verbal, for engaging with team members and senior management.
- Demonstrated ability to deliver quality outcomes in a fast‑paced environment.
