Senior Operations Manager About the Role We are hiring an experienced, systems-minded Senior Operations Manager to lead our internal infrastructure and day-to-day business operations.

In this role, you will own the structural integrity, financial workflows, compliance, and back-end systems that keep our entire organization running seamlessly. This is a role for an execution-focused leader who prides themselves on operational excellence, stabilization, and efficiency - ensuring our current portfolio runs flawlessly, our infrastructure is rock-solid, and our team is empowered to do their best work without friction. You will lead the operations department, serve as a peer to the Head of Marketing & Growth, and report directly to the Founder.

About the Engagement This is a full-time engagement structured as an annual independent contractor relationship. The engagement runs on a 12-month term, renewable by mutual agreement, with a 60โ€“90 day notice period on both sides after the initial term. We are open to engaging you directly as an independent contractor or through your personal services corporation.

Compensation is paid as a monthly retainer, in CAD, against an agreed scope of work. The contractor is responsible for their own income tax (CRA), CPP, and any benefits. We provide standard expense reimbursement and the working tools you need (cloud accounts, software, etc.); you provide your own hardware.

This is not a fractional engagement. We are looking for someone who is genuinely committed to the organization as their primary professional focus during the term. What You'll Lead & Oversee โ— Program Operations: Directly overseeing the program management engine that drives live delivery, faculty scheduling, and calendar execution. โ— Finance Support: Partnering on bookkeeping, payments, contracts, vendor relationships, and reporting. โ— Continuing Education (CE) Delivery: Ensuring seamless accreditation workflows, attendance tracking, and certificate issuance. โ— Live Support Teams: Overseeing the workflows of administrative and production support teams.

What You'll Own 1. Operational Systems & Execution โ— Bridge Strategy to Execution: Translate business goals into a hyper-efficient weekly and quarterly delivery rhythm. โ— Own Core Operating Metrics: Track and optimize company-wide operating KPIs: program completion rates, CE issuance accuracy, gross margin by program, tech uptime, and team throughput. โ— Process Optimization: Standardize daily and weekly operating reviews to ensure back-end systems seamlessly support faculty, live events, and calendar accuracy. 2. Continuing Education (CE) Governance & Compliance โ— Maintain Accreditation Posture: Manage and protect our existing accreditation status across all relevant professional bodies, including renewals, audits, policy changes, and risk management. โ— Systemize CE Operations: Oversee the administrative pipeline to ensure CE applications, attendance tracking, and certificate distribution run on absolute rails with zero errors. 3.

Financial Stewardship & Hygiene โ— Own P&L Integrity: Monitor production budgets, faculty economics, and profit margin targets across the portfolio. Approve invoices and contracts above agreed thresholds. โ— Partner with Finance: Oversee annual budgeting, cash flow management, compliance, and end-of-year close. โ— Steward External Counsel: Serve as the primary point of contact for external bookkeeping, tax, and legal counsel. 4. People Operations & Contractor Management โ— Master the Contractor Model: Ensure immaculate compliance and hygiene across a distributed workforce (clear statements of work, defined contract terms, renewal cadences, and compliance with independent contractor guidelines). โ— Performance Infrastructure: Run an intentional people discipline.

Maintain contractor agreement templates, internal handbooks, onboarding/offboarding workflows, and performance evaluations. โ— Conflict & Culture Resolution: Act as the senior point of escalation for sensitive people matters, maintaining absolute confidentiality. Set and hold remote culture norms across a globally distributed team. You're a Strong Fit If You Have โ— 8+ years of operations leadership experience, including at least 2 years as a Head of Operations, Director of Operations, or equivalent senior operations seat at a multi-function organization. โ— Roots in Continuing Education/Adult Learning: Hands-on experience overseeing CE accreditation processes, compliance management, or the administrative backend of professional credentialing. โ— Comfort with P&L and Finance: Experience managing budgets, monitoring margins, approving contractor payments, and partnering with accounting/bookkeeping functions. โ— Expertise in Contractor Management: High comfort level managing a remote, contractor-heavy workforce.

You know how to establish clear scopes of work, hold people accountable, and handle performance conversations with clarity and empathy. โ— Remote Work Mastery: Proven experience working in and leading distributed teams asynchronously, relying on clear documentation and tools rather than constant live meetings. โ— Canada-Based: Based in Canada and eligible to work as an independent contractor (directly or through your PSC), with the ability to maintain meaningful overlap with Eastern and Pacific time zones. โ— Experience working with AI tools ideally with solutions that can automate tasks. We are looking for someone who understands technology and is a quick learner to using new tools for tracking and optimization. โ— Care for the Subject Matter: This work lives at the intersection of trauma, the body, and healing. Our learners and faculty deserve respect, and you must hold an appreciation for this space.

Bonus Points For โ— Experience in somatic, trauma-informed, mental health, or embodiment-adjacent fields. โ— Background in instructional design or adult-learning compliance structures. โ— Prior independent contractor or operational roles within the education, wellness, or mental health sectors. Pay Range $9,000 to $11,000k per month
