Paragon Engineering is seeking a highly organised and proactive professional to provide high-level administrative support to our Leadership Team and ensure the seamless operation of our project-based office.

The Role:

This role acts as the operational heartbeat of the office, providing essential support to the team that drives our engineering projects. You will be the point of connection between our technical teams, clients, and business operations, requiring a blend of precision, tech-savviness, and professionalism.

Key Responsibilities:

  • Serve as the main administrative contact for the Managing Director, managing his schedule, drafting correspondence, and coordinating internal communications.
  • Prepare, update, and finalise engineering proposals, tender applications, and presentations in line with industry standards.
  • Oversee and maintain our Quality Management System documentation, ensuring compliance with engineering best practices.
  • Organise corporate events and manage logistical details.
  • Handle general office duties, day-to-day operations, and staff affairs.
  • Carry out invoicing, accounts payable and receivable.
  • Communicate effectively with our engineering teams, clients, and external partners.
Requirements

To be considered for the role, you must have

  • Solid experience in office management and executive assistant roles, preferably within a technical or engineering environment.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and high digital literacy across software ecosystems and tools such as AI, CRMs, Linkedin Business and design platforms.
  • Experience with accounting software and invoicing.
  • Strong organisational skills with ability to manage multiple priorities and thrive in a fast-paced, switch-task setting.
  • High interpersonal skills, with the ability to engage confidently with senior stakeholders.
  • Skills in SEO and social media management would be highly regarded.
