Position
The Manager - Administration will be responsible for the internal administration, compliance tracking, and process oversight required to support CFO Inc.’s operations. This includes planning and monitoring internal workflows, maintaining organized records, overseeing paperless systems, coordinating regulatory deadlines, and helping implement data integrity and quality controls across platforms and deliverables.
Job Duties
- Plan and oversee administrative procedures, scheduling frameworks, and recurring reporting timelines for client deliverables (e.g., reconciliations, CRA filings).
- Maintain and update digital document management systems to ensure all bookkeeping and tax-related files are well-organized, traceable, and CRA audit-ready.
- Track compliance calendars and ensure timely completion of GST/HST filings, corporate tax submissions, and related notices.
- Monitor and coordinate reconciliation cycles (weekly, monthly, quarterly), ensuring all inputs are collated on time for report generation.
- Direct and support employees and independent contractors responsible for administrative operations, including records organization, compliance documentation, digital platform coordination, and other related support services.
- Establish and monitor internal processes to ensure ongoing compliance with corporate governance practices, tax regulations, and other relevant legal requirements.
- Prepare administrative summaries and checklists for internal tracking and review by the Managing Partner.
- Liaise with external vendors (e.g. software, subscription providers) to maintain service continuity, negotiate renewals, and manage support tickets.
- Support client onboarding from an administrative perspective: digital file setup, document requests, compliance checklists, and internal form completion.
- Research and recommend improvements to internal administrative SOPs to enhance time-efficiency, accuracy, and audit-readiness.
- Monitor the usage and effectiveness of tools like QuickBooks Online, Dext, cloud dashboards, and paperless receipt software as they relate to task execution.
