As an Assistant - Administration & Logistics, you'll play an important role in keeping day-to-day operations running smoothly. From managing office administration and coordinating with vendors to supporting logistics and maintaining essential records, you'll be the backbone of a fast-paced and purpose-driven team. What You'll Be Responsible For
Office Administration & Workplace Management
● Support the day-to-day administrative operations of the state office.
● Ensure the office remains well-organised, fully functional, and equipped with everything the team needs.
● Coordinate with housekeeping, maintenance teams, and building management to resolve office-related requirements.
● Monitor office supplies and ensure timely replenishment of essential resources.
Inventory & Asset Management
● Maintain accurate records of office supplies, programme materials, furniture, IT equipment, and other organisational assets.
● Track inventory levels and coordinate timely procurement when required.
● Support the distribution of materials across different locations.
● Conduct regular asset verification and ensure documentation is up to date.
Vendor & Procurement Coordination
● Coordinate with vendors for office supplies, facilities, and operational requirements.
● Obtain quotations, maintain vendor records, and support procurement processes.
● Track vendor deliverables and ensure services are completed within agreed timelines.
● Build strong working relationships with existing vendors while identifying new vendors whenever required.
Logistics & Operational Support
● Coordinate courier services and ensure timely movement of documents and materials.
● Support logistical planning for meetings, training sessions, workshops, and other organisational events.
● Work closely with both State and Central teams to ensure smooth operational coordination.
Documentation & Reporting
● Maintain administrative records, trackers, and operational documentation.
● Prepare periodic reports related to inventory, procurement, logistics, and office operations.
● Ensure all administrative processes are completed accurately and in line with organisational guidelines.
We're Looking For Someone Who…
● Is a graduate in any discipline.
● Has strong organisational and coordination skills with excellent attention to detail.
● Communicates confidently in Hindi and English.
● Is proficient in Google Workspace and Microsoft Office, particularly Google Sheets and Microsoft Excel.
● Has a good understanding of basic IT support, including hardware and software troubleshooting.
● Can manage multiple priorities while meeting deadlines in a fast-paced environment.
● Enjoys solving problems, taking ownership, and supporting teams with a positive, proactive approach.
