Job Description

Summary of Duties The Fleet Quality Coordinator & Data Analyst reports to the Fleet Manager and is responsible for fleet continuous improvement initiatives, performance measurement, and quality management. The coordinator specializes in administrative, analytical, and technical work related to the identification, evaluation, prioritization, and implementation of strategic initiatives that drive efficiencies across the fleet, including green technologies, vehicle maintenance scheduling, and operational process reviews. General Duties Lead and support the development, implementation, and management of a fleet-wide process improvement program, providing insight and guidance.

Develop, implement, and update performance metrics for all fleet services operational support areas. Carry out continuous improvement strategies to enhance service delivery effectiveness and efficiency. Use statistical analysis to identify performance trends and recommend project opportunities or enhanced services.

Lead specific projects and investigative assignments such as green technology upgrades, process improvements, change management, policy implementation, cost-benefit analyses, and benchmarking studies. Analyze fleet data including vehicle classification, utilization, maintenance activities, lifecycle, and green technology initiatives. Make recommendations for business opportunities, enhanced services, process improvements, grant funding programs, and implementation strategies.

Coordinate internal and external data for municipal benchmarking, such as MBN Canada, and other corporate benchmarks. Provide strategic and process improvement advice for business operations and recommend efficiency upgrades, tool development, and technology adoption. Recommend monitoring KPIs through the maintenance management system to identify training needs and goal-setting measures for staff performance.

Synthesize analytical outputs and produce reports for internal and external use, including council reports, memorandums, and open data. Assist in developing project charters, scopes, deliverables, timelines, resource requirements, and identify project risks. Secure funding through external sources, such as government grant opportunities, by completing required applications.

Develop and maintain standard operating procedures and training programs to support operational effectiveness. Audit data entered in fleet systems to ensure accuracy and compliance with policies and procedures. Perform checks, reconciliations, comparisons, and verifications of transactions to maintain data integrity.

Review documents, records, processes, and reports for accuracy, effectiveness, and reliability. Provide analysis on fleet repair costs by work types, cost groups, vehicle and class codes. Act as a key user to identify system needs and implement upgrades.

Perform duties directly related to the job function as assigned. Qualifications Demonstrated experience acquired at the post‑secondary level through a Finance, Business Administration, or Materials Management program, or a combination of education and relevant work experience. Computer literacy and proficiency with Microsoft products (Word, Excel, PowerPoint, Outlook) and other software required by the fleet services division.

Strong analytical and conceptual thinking, statistical, planning, evaluation, forecasting, and financial skills. Ability to transform process and policy recommendations into implementation strategy plans. Proven ability to review and analyze program data to improve quality assurance and develop continuous improvement strategies.

Experience manipulating data accurately at an intermediate speed, and creating statistical reports and graphs. Practical experience in process improvement or quality management using Lean Six Sigma or similar methodology is an asset. Ability to perform process reviews independently and develop suggestions through innovative thinking and sound reasoning.

Knowledge of procurement processes. Experience or knowledge of the automotive industry is an asset. Knowledge of maintenance management systems, such as Hexagon EAM, is an asset.
