ABOUT THE ROLE
Nine Orchard is a 113-room hotel in the restored 1912 bank building at the corner of Canal and Orchard on Manhattan's Lower East Side. The property is design-forward and service-driven, with a notable food and beverage program that draws equally from hotel guests and neighborhood regulars. Nine Orchard operates with the intimacy of a small property and the rigor of a top-tier hotel.
Nine Orchard is looking for a Sales & Marketing Coordinator who brings genuine passion for hospitality, a feel for the New York market, and the instincts to translate the hotel's identity into relationships and revenue.
This role is an important point of connection between prospective clients, the sales team, hotel operations, and food and beverage partners โ supporting group business, corporate accounts, private events, and related revenue-generating opportunities from initial inquiry through contracting and post-event follow-up. You will work closely with hotel leadership to drive group, corporate, and leisure business while supporting the broader marketing presence of the property, from social content and partnerships to press inquiries and brand collateral. Reports to the Director of Sales & Marketing.
WHAT YOU'LL OWN
Sales
- Manage inbound group, return guest, VIP and corporate inquiries from initial contact through contract, qualifying each opportunity
- Develop and maintain relationships with travel agents, corporate accounts, event planners, and local business contacts
- Enter group rooming lists with detail and accuracy
- Prepare proposals, presentations, contracts, and banquet event orders that reflect the hotel's voice and standards
- Follow up with inquiries in timely fashion
Sales operations & VIP coordination
- Prepare and distribute pre-arrival resumes for all VIP and group arrivals, ensuring Front Office, F&B, and Housekeeping are briefed and ready
- Collect, organize, and track artist and talent riders; coordinate fulfillment with relevant hotel departments ahead of arrival
- Manage amenity and room assignment coordination for VIP, celebrity, and high-touch guests in close partnership with Front Office and Housekeeping
- Maintain and update group and VIP arrival logs; track action items from the daily arrivals report and follow through on delivery
- Serve as the internal point of contact for group and VIP business from contract through departure; own the entire cycle from booking to post-stay
- Maintain account-level notes in the PMS and sales systems
Marketing
- Assist with email marketing campaigns, seasonal promotions, and partnerships
- Manage and update photography assets and brand collateral
- Coordinate with the F&B team on programming, events, and cross-promotional opportunities
- Support press and media inquiries in partnership with the hotel's PR contacts
Administration & operations
- Maintain the CRM and account database with accurate, up-to-date information
- Prepare weekly and monthly sales reports, comp set analyses, and market trend summaries
- Liaise with Front Office, F&B, and Events to ensure group and VIP arrivals are executed seamlessly
- Manage the sales calendar, including site inspections, client meetings, and trade show participation
WHO WE'RE LOOKING FOR
Required
- 2โ4 years of experience in hospitality sales, marketing, or a related guest-facing role
- Background in a boutique, independent, or lifestyle hotel โ you understand what makes properties like Nine Orchard different
- Strong written and verbal communication skills; you can write a compelling proposal and hold a room in a client meeting
- Comfortable working independently and across departments in a lean, fast-moving environment
- Organized, detail-oriented, and able to juggle multiple priorities without dropping the ball
- Flexible availability to support site visits, client events, and travel shows as needed
Preferred
- Existing relationships in the New York market: corporate accounts, travel trade, event planners, or media
- Familiarity with hotel sales systems (Delphi, Opera Sales & Catering, or similar)
- Experience with social media management tools and email marketing platforms
- Knowledge of the New York lifestyle, F&B, and events landscape
- Multilingual abilities

- Sales inquiries, proposals, and client communications are handled promptly, accurately, and on-brand
- Operational teams reliably receive clear, complete information ahead of every group, event, and VIP arrival
- You've built genuine relationships with clients and key accounts, and the team can rely on your reporting and follow-through to help convert business and grow revenue

- Base pay: $ 65,000- $70,000 annually, commensurate with experience
