Job Description
We are looking for a warm, organised, and reliable School Office Administrative Assistant to join our Montessori school community. Two days a week, you will be the first point of contact for students, parents, and visitors. You will help keep our school office running smoothly by managing daily clerical tasks, answering phones, and supporting school staff.
Key responsibilities
Greet visitors, parents, and students warmly, answer, screen and direct phone calls in a helpful and professional manner.
Assist with student check-in and check-out. Help record daily attendance and manage student passes or messages.
Manage enquiries from students, parents, employees and the general public; provide administrative support for the school enrolments officer.
Undertake a wide range of secretarial and clerical duties, including word processing, maintaining email and computerised records.
Provide administrative support to senior management, including arranging appointments, diaries and preparing both confidential and general correspondence.
Support the drafting and review process of school policies and procedures.
Keep the front offices and reception area clean and tidy. Track inventory, organize office supplies, and place orders when supplies run low.
Assist with preparation of internal and external publications.
Assist staff and administration with planning or preparing materials for school events, meetings, and parent-teacher conferences.
About you
Certificate 3 in Early Childhood Care or willing to obtain (required)
High school certificate required
1+ years of experience in an office, administrative, early childhood or school environment
Excellent interpersonal skills (verbal and written communication); ability to build positive relationships with students, family members and staff.
Proficient with Microsoft Office (Word, Excel, Outlook), and school databases, and ability to quickly learn school administration software.
Ability to prioritise and organise workload in a school office setting; strong multi-tasking skills with high attention to detail, especially in data entry and compliance, problem solving skills.
Must be able to pass a background check and/or Working with Children check and complete or hold up to date First Aide and CPR in education.
Ability to maintain confidentiality and handle sensitive information appropriately.
Certificate 3 in Business Administration (preferred)
Montessori experience or understanding of Montessori Philosophy, school or early learning administration (preferred)
