PMO Delivery Operations Coordinator

About the Role:

We are hiring a PMO Coordinator to support the delivery operations of a US/Canada-based technology Project Management Office serving enterprise and professional services clients. You'll own resource scheduling for a portfolio of projects, help keep timekeeping data clean and compliant, and support Project Managers with plan maintenance and reporting — all inside ServiceNow PPM.

Key Responsibilities:

• Own day-to-day resource scheduling: build/maintain schedules, process reassignments and capacity changes, monitor over-allocation and conflicts, and improve the scheduling process
• Monitor timesheet/time-entry compliance — review entries for accuracy against project/client/task, follow up with engineers on corrections, and prepare compliance reporting
• Support Project Managers with WBS/task updates, RIDAC logs (risks, issues, decisions, actions, changes), and change/reforecast documentation
• Assemble recurring weekly/monthly project reports — budget vs. actuals, hours consumed, milestone status
• Prepare draft meeting decks, agendas, and notes; track action items to closure
• Use approved AI tools to speed up reporting, notes, and drafting, with human review before anything is issued

Required Skills:

• Hands-on experience with ServiceNow PPM (strongly preferred) or MS Project / Smartsheet / Jira
• Strong Excel skills (lookups, pivot tables, reconciliation)
• Working knowledge of WBS, dependencies, critical path, and change control
• Excellent written communication and attention to detail
• Comfortable working independently and holding stakeholders to deadlines, in a remote, distributed team

Good to Have:

• Background supporting IT or professional services delivery teams (infrastructure, migration, security/compliance projects)
• Experience with timesheet/billing reconciliation
• ITIL or ServiceNow foundational certification
• Prior use of AI tools for reporting or documentation

Education: Bachelor's degree in Business, Project Management, MIS, Computer Science, or related field (or equivalent practical experience)
