Job Purpose
Single point of on-site responsibility for the day-to-day operation of a prestigious commercial multi-tenant office building in Limerick city centre. The role covers building services, contractor control, security and access, statutory compliance, energy performance and tenant liaison.
All site activity is recorded in real time in the client CMMS and health and safety compliance system (Meridian), with full training provided. This is a prestigious commercial address occupied by corporate tenants, and presentation and service standards are expected to reflect that.
Key Responsibilities
Building Operations
- Manage the day-to-day operation of the building, including plant, common areas, external areas and car park, and enforce opening and closing procedures.
- Complete and document a daily patrol of all internal and external areas, reporting defects, hazards and housekeeping issues to the client or relevant contractor.
- Monitor BMS alarms continuously, resolve issues promptly and maintain tenant comfort conditions in all occupied areas.
- Oversee HVAC, electrical, water services, lifts, standby power and fire safety systems, and coordinate statutory servicing and inspections.
- Manage consumables and spares on site, and report life cycle and capital replacement needs to the client.
Client and Tenants
- Act as first point of contact for the client and tenants on security, access, maintenance and general building matters, responding promptly and closing items out.
- Coordinate tenant fit out, minor works, moves and out of hours access.
- Maintain front of house and common area presentation standards expected of a prestigious commercial address.
- Oversee cleaning and waste provision, including inspection of completed work.
- Carry out additional building management duties as instructed by the client.
Contractors and Safety
- Manage all contractors on site, including induction, sign in, escorting and control of works in occupied areas.
- Assist the client in reviewing and reporting on third party permit to work submissions, risk assessments, method statements and insurances for compliance with the Safety, Health and Welfare at Work Act 2005, and record all documentation provided.
- Inspect and verify completed works before sign-off and pursue outstanding items to close out.
- Monitor contractor performance against SLAs and obtain quotations for reactive and remedial works for client approval.
- Investigate accidents, incidents and near misses, implement corrective actions, and assist with coordination of bi-annual fire drills.
Security, Access and CCTV
- Administer access control, including card programming and tenant access levels and schedules.
- Process CCTV data and footage in line with client policy and GDPR, maintaining a record of all requests and releases.
- Manage intruder alarm, keys, fobs and contractor access, and respond to security incidents.
- Records, Energy and Reporting
- Maintain all maintenance, compliance, contractor and security records in the client CMMS and Meridian, including service reports and contractor visit sheets, updated in real time and audit ready.
- Manage PPM schedules and asset registers, confirming statutory tasks are issued and closed on time.
- Monitor energy and utility consumption, investigate variances, eliminate waste and support LEED Gold reporting.
- Issue weekly updates and a monthly client report covering site activity, KPIs and open items.
Essential Criteria
- Proven experience as a Building Manager, Facilities Manager or Facilities Coordinator in an occupied commercial or multi-tenant building.
- Working knowledge of building services, including HVAC, electrical systems, water services, lifts, fire alarm, emergency lighting and standby power.
- Competent operating BMS, access control and CCTV systems on a daily basis.
- Practical experience of contractor management, permits to work and review of safety documentation.
- Understanding of the Safety, Health and Welfare at Work Act 2005 and of GDPR obligations relating to CCTV and access data.
- High computer literacy, including Microsoft 365 and electronic record systems, with accurate real time record keeping.
- Clear written reporting for a client audience and confident direct dealing with tenants and contractors.
- Ability to work on own initiative, prioritise competing demands and remain calm under pressure.
Desirable Criteria
- Experience using a CMMS or CAFM platform.
- Experience in a LEED certified, BREEAM certified or high BER rated building.
- Energy, utility or ESG data reporting experience.
- Trade, technical or facilities management qualification, for example electrical, mechanical, IWFM or equivalent.
- IOSH Managing Safely or equivalent health and safety qualification.
- Full clean driving licence.
Practical Requirements
- Fit to undertake the physical demands of the role, including stairs, ladders, access equipment and manual handling.
- Able to access plant rooms, risers, roof areas and service areas.
- Available for occasional out of hours call out and emergency response.
- Satisfactory references and vetting where required by client policy.
Key Performance Indicators
- Statutory and PPM tasks completed within prescribed timelines.
- Tenant and client requests responded to and closed within agreed timeframes.
- Records complete, entered in real time and audit ready.
- Daily patrols completed and documented.
- Monthly client report issued on time and to the required standard.
- Energy performance held in line with LEED Gold expectations.
- Zero reportable accidents and full contractor compliance with permit to work procedures.
