Job Description
About Olivier Cheng Catering and Events
Olivier Cheng Catering and Events is a luxury catering company based in Tribeca. We create thoughtful, highly customized culinary experiences for private celebrations, fashion and cultural events, fundraising galas, corporate gatherings, and intimate dinners throughout New York City.
Our work brings together excellent food, creative ideas, precise execution, and a great many moving parts. Behind every beautifully produced event is a team making sure the details are in the right place at the right time.
About the Role
We are seeking a highly organized and detail-oriented Culinary Administrative Assistant to support our Culinary Operations Manager and culinary leadership team during our busy event season.
The primary purpose of this role is to reduce routine administrative work for managers by keeping files, event materials, inventory records, and operational information organized and current. The position will also support inventory projects and serve as a second check of selected event packing lists.
This is a good role for someone who appreciates a well-organized list, notices when something does not quite add up, and is curious about how great food and complex events come together behind the scenes. You should be a steady problem-solver who can move comfortably between administrative work, kitchen paperwork, and hands-on projects throughout the commissary.
After training, the successful candidate will be able to work independently from a prioritized task list, complete recurring responsibilities accurately, and raise questions or discrepancies without requiring continuous supervision.
What You’ll Do- Organize and maintain physical and digital files for the culinary department.
- Prepare, print, organize, update, and distribute kitchen menus and other event materials.
- Provide day-to-day administrative assistance to the Culinary Operations Manager and culinary leadership team.
- Enter and update information in spreadsheets, databases, inventory records, and company systems.
- Assist with inventory counts involving food products, culinary equipment, disposables, and other operational supplies.
- Help clean up existing records and keep inventory information accurate and accessible.
- Serve as a second check of selected event packing lists, confirming that listed items and quantities are complete.
- Identify missing information, inconsistencies, and inventory discrepancies before they become event-day problems.
- Follow up with chefs and administrative team members to resolve questions and obtain missing information.
- Prepare documents and materials for tastings, events, internal meetings, and special projects.
- Pitch in on other culinary operations and inventory projects as needed.
- Strong organizational skills and careful attention to detail.
- A calm, resourceful approach when plans shift or information is incomplete.
- Curiosity about food, hospitality, and the behind-the-scenes work that makes an event successful.
- Ability to manage a changing task list, prioritize work, and consistently follow through.
- Basic proficiency with Microsoft Excel, Word, Outlook, and routine data entry.
- Clear written and verbal communication skills.
- Comfort asking questions, reporting discrepancies, and following up with multiple team members.
- Ability to handle company records and event information accurately and professionally.
- Reliability, punctuality, initiative, and a collaborative approach.
- Previous administrative experience is preferred, but we welcome candidates with strong organizational skills and relevant transferable experience.
- Previous experience in catering, culinary operations, hospitality, restaurants, inventory, or a related environment is preferred.
This is a temporary, part-time position available for an immediate start and expected to continue through mid-December, with the possibility of extension or future work based on business needs.
The position is expected to average approximately 24 hours per week. Workdays will change according to the event schedule, but shifts will generally take place during daytime hours, with some flexibility in start times. Weekend work will be uncommon.
Shifts are usually eight hours and may occasionally extend to 12 hours during especially busy periods.
Physical RequirementsThis position is fully on-site at our Tribeca commissary and includes both administrative and hands-on work. The employee must be able to:
- Lift and carry up to 50 pounds when assisting with inventory or operational projects.
- Stand and walk through kitchen and storage areas as needed.
- Occasionally bend, reach, stoop, push, pull, or move supplies and equipment.
- Work safely in an active commercial kitchen and catering environment.
Reasonable accommodations may be made to enable qualified individuals to perform the essential functions of the position.
Compensation and Additional DetailsCompensation is $27 per hour. Staff lunch is provided during scheduled shifts. There may also be opportunities for continued work after the initial temporary assignment.
Please submit a resume that includes your current contact information. Interviews are conducted by appointment only; please no walk-ins.
