Location: Lavelle Road, Bangalore

Experience: 3โ€“7 Years

About the Role

We are looking for a highly organized, proactive, and discreet Executive Assistant (EA) to support senior leadership at a reputed investment firm. The ideal candidate will have strong experience in calendar management, executive coordination, business communication, travel planning, documentation, and stakeholder management.

This role requires someone who can work independently, manage multiple priorities, handle confidential information, and coordinate effectively with internal teams, investors, clients, and external stakeholders.

Key Responsibilities
  • Provide comprehensive executive and administrative support to senior leadership.
  • Manage calendars, appointments, meetings, and daily schedules efficiently.
  • Coordinate internal and external meetings with clients, investors, business partners, and senior stakeholders.
  • Handle travel arrangements, itineraries, hotel bookings, transportation, and expense coordination.
  • Prepare meeting agendas, presentations, reports, and Minutes of Meetings (MOM).
  • Follow up on action items and ensure timely completion of tasks.
  • Manage confidential documents, correspondence, financial information, and business-related communication with a high level of discretion.
  • Coordinate with internal departments and external stakeholders on behalf of senior management.
  • Draft and manage professional emails, letters, presentations, and other business communications.
  • Maintain organized records, documents, reports, and executive files.
  • Support leadership in preparing for investor meetings, business reviews, conferences, and important engagements.
  • Assist with event planning, business meetings, and executive-level engagements.
  • Track important deadlines, commitments, and follow-ups for senior management.
  • Handle ad-hoc assignments and special projects as required.
Preferred Skills & Qualifications
  • 3โ€“7 years of experience as an Executive Assistant, Personal Assistant, Executive Secretary, or similar role.
  • Experience supporting CXOs, Founders, Directors, Managing Directors, or senior executives is preferred.
  • Experience in investment banking, private equity, venture capital, wealth management, financial services, or a professional services environment will be an advantage.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills.
  • Ability to handle sensitive and confidential information.
  • Strong follow-up and coordination skills.
  • Proficiency in MS Office โ€“ Word, Excel, PowerPoint, and Outlook.
  • Good calendar and meeting management skills.
  • Strong attention to detail and ability to multitask.
  • Professional appearance, communication, and interpersonal skills.
  • Ability to work independently in a fast-paced and demanding environment.
