Designation: Executive Assistant to Managing Director (EA to MD)

Location: HO – Mumbai, Nariman Point

Working Days: Monday to Saturday (6 Days a Week)

Role Overview:

We are looking for an experienced Executive Assistant to provide comprehensive support to the Managing Director across day-to-day operations, calendar and travel management, communication, and coordination with internal and external stakeholders. The candidate will take complete ownership of the MD's schedule, key action points, and confidential matters, working closely with senior management and cross-functional teams.


Key Responsibilities:


* Provide comprehensive executive support to the Managing Director in day-to-day operations.

* Manage and coordinate the MD's calendar, meetings, appointments, and travel itineraries.

* Prepare presentations, reports, business updates, and meeting minutes as required.

* Act as a single point of contact between the MD and internal/external stakeholders.

* Draft and proofread official communication, emails, and correspondence on behalf of the MD.

* Coordinate and follow up on key action points, strategic initiatives, and ongoing projects.

* Conduct research and compile data to support decision-making.

* Handle confidential information with utmost discretion and professionalism.

* Organise review meetings and ensure timely circulation of agendas, reports, and MoMs.

* Support the MD in managing time effectively and prioritising critical tasks.

* Liaise with various departments to ensure smooth execution of directives issued by the MD.


Key Skills & Competencies:


* Excellent communication (verbal & written) and interpersonal skills.

* High level of proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

* Strong organisational, multitasking, and coordination abilities.

* Ability to work under pressure and manage tight deadlines.

* High degree of professionalism, integrity, and confidentiality.


What Success Looks Like:


* The MD's calendar, meetings, and travel are managed seamlessly with zero scheduling conflicts.

* Communication and correspondence on the MD's behalf are accurate, timely, and professional.

* Action points from meetings are tracked and closed without follow-up reminders.

* Confidential information is handled with complete discretion at all times.

* The MD is able to focus on strategic priorities with minimal operational distraction.


Qualifications & Certifications


* Graduate / Postgraduate in any discipline.

* Minimum 9 years of experience as Executive Assistant to senior leadership (C-level preferred).

* Proficiency in MS Office and modern coordination/scheduling tools.
