Job Description and Duties


GENERAL STATEMENT OF DUTIES: Under general supervision, serves in the Recorder/Unit Clerk Section of Clinical Record Services. Performs a variety of duties related to Clients’ Individual Program Plan and is expected to consistently exercise a high degree of independence in performing assigned tasks. This position serves as the Recorder for the Residence/Unit, attends IPP team meetings, and takes comprehensive minutes of the discussions and prepares/types the IPP.

Also attends TRM, TPM and Special meetings as requested. In this position, will perform client record reviews, filing, and purging of records and serves as the liaison with IPCs and residence Program Management. This position will provide clerical support, document management, scanning documents, and be responsible for maintaining the volumes of documents and records.

May be required to assist the Audit Team with comprehensive audits and perform other duties as required.

Effective July 1, 2025, State employees are subject to a salary reduction of three (3) percent in exchange for five (5) hours per month of the Personal Leave.


Temporary state housing may be available for those relocating to fill hard to recruit positions. Housing assignments and rates will be determined in accordance with Department policy, operational priorities, and applicable labor agreements.


This position is not eligible for telework, this position is in person only.


Multiple positions may be filled from this recruitment. This recruitment may be utilized to fill future vacancies that may occur during the life of the certification list.


Pursuant to California Government Code requirements, candidates must be residents of the State of California at the time of appointment.

Working Conditions


TYPICAL WORKING CONDITIONS: Ongoing interaction with clients, facility personnel and the general public. Position requires prolonged periods of sitting, extensive use of telephones, and video data terminals. Must be able to work under tight deadlines and irregular hours may be necessary.

Potential exposure to communicable diseases, blood borne pathogens, and other conditions common to a clinical nursing environment.


This position requires a knowledge of the Individual Program Plan System, the Clinical Records Documentation System Active Treatment, Individual Program Plan documentation requirements, and facility recording requirements/policies/procedures. Must have the ability to operate various office machines including computer, scanner, copier, follow oral and written directions, read and write English at a level required for successful job performance, make clear and comprehensive reports, meet and deal tactfully with the public, work independently utilizing a wide knowledge of vocabulary, grammar and spelling, communicate effectively, possess good organizational skills and knowledge of medical terminology. Must be able to evaluate situations accurately and take effective action, demonstrate good judgment and ability to communicate effectively, and perform and train varied clerical functions without direction or with minimal supervision.


TYPICAL PHYSICAL DEMANDS: Must possess and maintain sufficient strength, agility, endurance, and sensory ability to perform the duties contained within this duty statement. This position has ongoing responsibility for the protection and safeguarding of the public and property, and regular and substantial contact with forensic individuals. As a condition of employment, incumbents are required to and capable of responding to emergency situations and provide a level of service to the public such that the safety of the public and of property is not jeopardized.

Employees will be required to perform the following essential functions: must be able to lift 50 pounds without assistance; must be able to participate in emergency situations.

The California Department of Developmental Services (DDS) is the agency through which the State of California provides services and supports to individuals with developmental disabilities.


These disabilities include intellectual disability, cerebral palsy, epilepsy, autism and related conditions. Services are provided through state-operated developmental centers and community facilities, and contracts with 21 nonprofit regional centers. The regional centers serve as a local resource to help find and access the services and supports available to individuals with developmental disabilities and their families.
