Job Summary

An opportunity has arisen for a Band 2 Receptionist to join our Diabetes & Endocrinology team in Outpatients. The post will cover the reception area within the department, bookings patients in for their appointments and working through outpatient waiting lists to book follow up appointments into clinics, taking patient telephone calls and queries, contacting patients, alongside other admin duties.

We are looking for enthusiastic, committed, motivated individuals with excellent communication skills and previous reception and healthcare environment experience.

This is a Monday to Friday full time (37 hours) position.

Attention should be drawn to the requirements contained in the Person Specification for the role. Applicants will not be shortlisted if they have no reception experience, maths and English for example, so please read carefully

Main Duties, Tasks & Skills Required

Main duties of the job

Working on the reception desk meeting and greeting patients, dealing with general enquiries, answering the telephone and carrying out administrative duties.

The overall activities of the post-holder will include, but not limited to:

  • To welcome staff, patients and visitors in a friendly and professional manner, dealing with enquiries appropriately
  • Recording patient information accurately
  • Photocopying and distribution of copies as instructed by Line Manager
  • Answering the telephone in a courteous manner dealing with enquiries and recording all messages accurately and referring on appropriately
  • Maintain confidentiality of records on the telephone, in conversation and in writing
  • Ensure the reception area is kept tidy
  • Report any problems to line manager as appropriate

Person Specification

Qualifications

  • Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4

Experience

  • Previous experience of reception work
  • Experience of working in healthcare
  • Experience of dealing with the public
  • Public / Customer service experience
  • Experience of working with a range of Microsoft Office packages (eg. Word, Excel and Outlook)
  • Experience of using IT systems
  • Experience of working in a busy office / customer care environment
  • Previous administration
