Job Description
The Events Manager will be responsible for driving event business while managing each event from the initial inquiry through final execution and follow-up. This role requires a strong hospitality professional who can build lasting relationships with clients, sell the restaurant’s event offerings, and work closely with the General Manager, Executive Chef, FOH team, and other departments to ensure flawless execution.
The ideal candidate is personable, sales-driven, detail-oriented, and comfortable working in a fast-paced, high-end restaurant environment.
ESSENTIAL DUTIES AND RESPOSIBILITIES
Event Sales & Business Development
● Respond promptly and professionally to private event and group dining inquiries.
● Generate new event business through networking, relationships, referrals, corporate outreach, and local partnerships.
● Conduct site visits and restaurant tours for prospective clients.
● Develop customized event proposals based on guest needs, budget, menu preferences, and event format.
● Convert inquiries into confirmed events while meeting revenue and sales goals.
● Build and maintain strong relationships with corporate clients, event planners, agencies, and repeat guests.
● Identify opportunities for restaurant buyouts, private dining, cocktail receptions, celebrations, corporate dinners, and special events.
Event Planning & Coordination
● Manage events from initial inquiry through completion and post-event follow-up.
● Coordinate menus, beverage packages, room layouts, guest counts, timing, entertainment, décor, AV, and other event requirements.
● Prepare detailed event documents, timelines, event orders/BEOs, and operational notes.
● Coordinate menu tastings and client meetings with the culinary team.
● Communicate final event details clearly to FOH, BOH, management, and vendors.
● Ensure all contractual, payment, deposit, and billing requirements are completed accurately and on time.
Event Execution
● Be present and actively involved in event execution when required.
● Lead event setup, service, and breakdown while maintaining Passerine’s service standards.
● Serve as the primary point of contact for the client during the event.
● Anticipate guest and client needs and resolve issues quickly and professionally.
● Ensure events run according to agreed timelines, menus, budgets, and service expectations.
● Conduct post-event follow-up and obtain client feedback to encourage repeat business.
Financial & Administrative Responsibilities
● Maintain accurate event records, proposals, contracts, deposits, and final billing.
● Monitor event revenue, minimums, costs, and profitability.
● Work with management and accounting to ensure accurate event settlements.
● Maintain an organized pipeline of current, upcoming, and prospective events.
● Track sales activity and provide regular event business updates to management.
Qualifications
● 2–4+ years of experience in restaurant events, private dining, catering, hospitality, or event sales.
● Strong knowledge of NYC restaurant and hospitality operations.
● Experience selling and executing private events, corporate dinners, celebrations, and/or buyouts.
● Excellent communication, sales, negotiation, and organizational skills.
● Strong knowledge of food, wine, cocktails, and fine-dining service.
● Ability to manage multiple events and priorities simultaneously.
● Professional appearance and polished communication style.
● Strong attention to detail and follow-through.
● Proficiency with email, Microsoft Office/Google Workspace, and event management or CRM platforms.
● Ability to work evenings, weekends, and holidays as required by the event schedule.
