Job Description
We are working with a highly regarded Legal 500 law firm in Central London who are looking to recruit an experienced Legal Executive Assistant to join their Construction Disputes team.
This is an excellent opportunity for a proactive and highly organised Legal PA/EA to join a busy and well-established practice, providing high-level support to the Head of the Practice Group and one other Partner.
The successful candidate will be confident working in a fast-paced legal environment and will have excellent attention to detail, strong organisational skills and the ability to manage competing priorities. You will work closely with both Partners, adapting to their individual working styles and becoming a trusted point of contact for their day-to-day requirements.
As Legal EA, your responsibilities will include:
- Providing high-level Legal PA/EA support to the Head of the Practice Group and one other Partner.
- Taking full ownership of complex and busy diaries, proactively managing meetings, appointments, conflicts and associated logistics.
- Managing Partners' inboxes, responding to emails where appropriate, prioritising correspondence and ensuring urgent or client-critical matters are brought to their attention.
- Building strong working relationships with Partners, clients, fee earners and internal teams.
- Supporting client onboarding, including completing and coordinating AML and compliance checks.
- Assisting with the billing process, including monitoring WIP, coordinating billing deadlines and liaising with the wider team and Finance.
- Managing financial and matter-related administration, including chasing outstanding bills where required.
- Experience with 3E would be advantageous, although this is not essential.
- Arranging domestic and international travel, including flights, accommodation, visas, transfers and detailed itineraries.
- Organising meetings, preparing agendas and taking minutes where required, ensuring actions are followed up.
- Supporting the Partners with business development activities, including events, seminars and conferences, working closely with Marketing & BD.
- Arranging regular catch-ups with Partners to review upcoming commitments, priorities and diary requirements.
- Developing a strong understanding of the Partners' clients, matters, priorities and practice area.
- Taking ownership of tasks and managing workloads effectively against deadlines and changing business requirements.
- Working collaboratively with central business support teams to ensure a high level of service is delivered.
- Identifying opportunities to improve processes and introduce best practice across the team.
- Acting as a professional and client-focused ambassador for the Partners and the wider firm.
- Building strong internal and external relationships and contributing positively to the wider team.
The successful candidate will have:
- Previous experience working as a Legal PA, Senior Legal PA or Legal EA within a law firm.
- Experience supporting Partners or senior fee earners in a busy legal environment.
- Strong experience managing complex diaries and inboxes.
- Previous experience with client onboarding and AML/compliance checks.
- Solid experience with legal billing and financial administration, including WIP.
- Experience using 3E would be a bonus but is not essential.
- Excellent organisational skills and the ability to manage multiple priorities and deadlines.
- Strong attention to detail and a proactive approach to problem-solving.
- Excellent written and verbal communication skills.
- The ability to adapt to different Partner working styles and build trusted working relationships.
- A professional, commercially aware and client-focused approach.
