Location: Melbourne, VIC (flexible between two clinic sites)
Reports to: Practice Manager
Employment Type: Part-time (3โ€“4 days per week, flexible schedule)

Melbourne Cardiology Group is a leading specialist practice dedicated to providing exceptional care to our patients. We are seeking a professional and highly organised Medical Receptionist to join our team and support our Practice Manager, Consultant Cardiologists and Technical team.

Role Purpose

As the Medical Receptionist, you will be the frontline liaison between clinicians, general practitioners, specialists, and patients/relatives. You will play a vital role in ensuring the smooth running of the practice and maintaining our reputation for excellence.

Key Responsibilities

  • Welcome and greet all patients and visitors, both in person and over the phone
  • Register new patients and update existing patient data, including personal and financial information
  • Answer phone calls professionally and respond promptly to patient enquiries
  • Book and confirm patient appointments, including theatre bookings in private and public hospitals
  • Manage billing of tests, inpatient billing, Medicare and Eclipse batching and rejections
  • Send out reports and reminders in a timely manner
  • Scan and link patient documents to files, download holter monitors and send reports
  • Maintain effective communication with consultants, GPs, specialists and other stakeholders
  • Facilitate patient flow and follow up on outstanding results
  • Manage correspondence, mail and faxes (electronic and paper-based)
  • Maintain manual and computerised records and filing systems
  • Ensure the reception area is clean and organised and office supplies are adequately stocked
  • Protect patient confidentiality at all times
  • Perform other administrative duties as directed by the Practice Manager

Selection Criteria

  • 2 years experience in medical reception
  • Experience using medical software, Gentu preferred but not essential
  • High level of professionalism and confidentiality
  • Excellent written and verbal communication skills
  • Ability to show initiative and work cohesively in a team environment
  • Ability to work independently and prioritise workload
  • Strong organisational skills and attention to detail
  • Ability to communicate with a diverse range of people
  • Understanding of the Medicare Benefits Schedule and medical terminology
  • Intermediate to advanced knowledge of Microsoft Office suite and Google Workspace
