Job Description:

We are looking for an organized and dependable Administrative Assistant to support one of our specialized operations teams.


The role involves managing administrative workflows, communicating with healthcare and other professionals, maintaining databases and trackers, collecting and organizing information, preparing standardized documents, coordinating meetings, conducting online research, and following up on pending tasks.


This is a process-oriented position that requires attention to detail, professional communication, consistent follow-up, and the ability to manage multiple assignments at the same time.


The selected candidate will receive training on our internal systems, workflows, documentation standards, and terminology. Over time, the candidate will be expected to take greater ownership of assigned projects and ensure that tasks are followed through to completion.


Key Responsibilities:


Administrative and Workflow Support:

  • Support the day-to-day administrative and operational activities of the team.
  • Maintain accurate records for multiple active assignments.
  • Update internal trackers, spreadsheets, databases, and task-management systems.
  • Track deadlines, pending responses, required documents, and follow-up items.
  • Provide regular progress updates to internal team members.


Professional Communication:

  • Draft, review, and send professional emails and correspondence.
  • Communicate with healthcare professionals, vendors, clients, and other external contacts.
  • Use approved templates while adapting messages appropriately for each situation.


Document and Database Management:

  • Request, collect, organize, and maintain professional documents and information.
  • Prepare standardized profiles, cover pages, summaries, reports, and correspondence.
  • Review documents for accuracy, completeness, formatting, and consistency.
  • Enter and update contact information and other data in internal systems.
  • Organize digital folders using established file-naming procedures.


Scheduling and Meeting Coordination:

  • Schedule calls, appointments, interviews, and internal meetings.
  • Coordinate availability among multiple participants.
  • Send calendar invitations, reminders, and meeting details.
  • Assist with rescheduling and resolving basic calendar conflicts.
  • Take organized meeting notes when required.
  • Record follow-up actions and monitor them through completion.


Research and Project Support:

  • Conduct online research using reliable sources.
  • Verify publicly available professional and organizational information.
  • Compile research findings into clear and organized summaries.
  • Assist with preparing presentations, reports, and internal documents.
  • Support other operational tasks as assigned.


Required Skills:

Preferred Qualifications:

  • Previous experience in administration, operations, healthcare support, recruitment, credentialing, customer service, or executive assistance.
  • Experience communicating with professionals located in the United States.
  • Experience maintaining databases, project trackers, spreadsheets, or contact-management systems.
  • Experience preparing professional reports, summaries, profiles, or presentations.
  • Previous experience working remotely or supporting an international team is helpful.


Freshers with excellent English communication, strong computer skills, and a disciplined approach to organization and follow-up are encouraged to apply.
