Area or department: Administration and People.

The position reports to: Administration, People & Finance Manager.

About the position: Full-time or Part-time, to assist and support the Head of Administration, People and Finance in managing and analyzing the company's administrative and accounting tasks, guaranteeing its quality. Consolidating processes and preparing for the company's growth.

We are looking for a highly organized and proactive person to support various administrative tasks related to invoice processing, document management, and follow-up on payment receipts. The ideal candidate should be detail-oriented, capable of working autonomously, and able to handle multiple tasks simultaneously. Open to learning and taking feedback.

Additionally, the candidate must have a good command of English, strong spreadsheet skills, and basic experience in creating presentations.

Responsibilities:

  • Process and manage invoices, payments, and collections, including verifying data, organizing documents, and following up on receipts.
  • Organize and maintain digital and physical files efficiently, ensuring easy access and proper structure (Google Drive, Docs, Slides, Sheets).
  • Track and manage documentation requests, deadlines, and approvals.
  • Prepare and review drafts of documents, proposals, applications, and related materials for signature, ensuring accuracy and completeness.
  • Support and collaborate with other departments, including the CEO and the COO, to streamline processes and documentation.

Candidate profile:

Location: On-site, Barcelona (preferred). Exceptional candidates based elsewhere may be considered for a remote position.

Dedication: Although a part-time position is ideal, we do not rule out responsible candidates who need a full-time position.

Experience/skills:

  • Minimum of 1 year of relevant work experience in Admin, Finance, People or Operations.
  • Experience or knowledge of the professional world of NGOs and Catholic institutions will be highly regarded.
  • Highly organized, proactive, responsible, and eager to learn. Quantitative mindset for problem solving.
  • Brutal honesty, transparency, and hard work. This job is only for a hands-on, attention-to-detail freak. Passion for the little things. Perseverance in the details, for Love, is heroism.

Education:

  • Young professional or advanced student in Accounting, Business Administration, Economics, Industrial Engineering, etc.

Languages:

  • Spanish
  • Advanced English skills (written and spoken).
  • Italian will be well-valued.
