Position Details Position Title: Documentation & MIS Coordinator - Skill Operations Number of Positions: 15 Location: Jaipur, Rajasthan Reporting To: Project Associate / Project Manager Employment Type: Full-time, in-office Experience Required: 0–2 Years Educational Qualifications Bachelor’s Degree Candidates with a Bachelor’s Degree in Development Studies, Social Sciences, Management, Economics, Public Policy, Commerce, or related disciplines may apply for this position Master’s Degree (Preferred/Advantageous) Candidates with a Master’s Degree in Development Studies, Management, Social Work, Public Policy, Economics, Human Resource Management, or related disciplines will be preferred. Additional preference will be given to candidates possessing: Exposure to skill development, livelihoods, education, or implementation projects.

Strong communication and coordination skills. Good command over documentation, data entry, and reporting. Proficiency in MS Word, Excel, and PowerPoint.

Willingness to work in a fast-paced, field-linked project environment. Relevant Work Experience Candidates with 0–2 years of experience in project coordination, documentation and MIS, livelihood programs, community engagement, or other development projects are eligible to apply for this position. Preference will be given to candidates with demonstrated exposure to: Project tracking and coordination.

Documentation and reporting. MIS preparation and data validation. Stakeholder communication.

Role Overview The Documentation and MIS Coordinator will support the documentation, record management, MIS tracking, and clerical coordination functions of skill development programmes. The role requires strong attention to detail, structured record-keeping, and the ability to support multiple programme activities with accuracy and discipline. The selected candidate will work closely with the project team, field staff, training centres, and government stakeholders to ensure that all programme records are complete, accurate, and audit-ready.

Roles & Responsibilities Documentation & Record Management Maintain complete and updated documentation related to beneficiary enrolment, training attendance, assessment, certification, placement, and post-training support. Organise physical and digital files in a systematic manner to ensure traceability, completeness, and easy retrieval Prepare document sets, annexures, and submission packets for internal reviews, partner coordination, and compliance requirements. MIS & Data Management Coordinate day-to-day programme operations by maintaining records, managing correspondence, supporting logistics, and ensuring smooth flow of information between internal teams, training centres, and stakeholders.

Maintain registers, meeting notes, trackers, and routine office records as required by the project team. Assist in scheduling meetings, organising documents for reviews, and managing programme stationery and office supplies. Coordination & Follow-up Coordinate with training centres, field teams, assessors, and partner organisations to collect and verify records.

Follow up on missing documents, incomplete records, and pending submissions in a timely manner. Support communication between project leads and implementation teams to ensure smooth execution of programme activities. Compliance & Audit Support Ensure that documentation is maintained in line with scheme guidelines, programme processes, and audit requirements.

Support internal checks, review meetings, and external audits with accurate records and well-organised files. Highlight gaps, discrepancies, and documentation risks to the reporting manager for timely resolution. Programme Records Prepare and update Excel-based MIS trackers, progress sheets, and dashboards with accurate and timely information.

Assist in validating data entries, correcting inconsistencies, and ensuring that records are complete and properly formatted. Support timely reporting of project information by maintaining updated files and sharing data with the relevant team members as required. Reporting Support Support the preparation of weekly, monthly, and project-based reports for internal review and management updates.

Assist in creating presentations, status summaries, and progress documents for stakeholder communication. Compile and organise information from different sources so that reporting is clear, accurate, and ready for submission. Additional Project Responsibilities Undertake any additional responsibilities assigned by the Project Associate, Project Manager, or Senior Leadership in alignment with project requirements and operational priorities.

Skills Strong documentation and record-keeping skills. Good command over MS Excel, MS Word, MS PowerPoint, Google Sheets, Canva. Ability to handle large volumes of data with accuracy and discipline.

Strong coordination, follow-up, and communication skills. Ability to work in structured, deadline-driven environments. Knowledge of MIS systems, file management, and reporting formats.

Preferred Candidate Profile The ideal candidate should be a motivated, detail-oriented, and proactive individual with an interest in project management, skill operations, and development sector work. Candidates with exposure to skill development, livelihoods, education, or government-supported programmes will be strongly preferred. Preference will also be given to candidates who demonstrate good coordination skills, a strong sense of responsibility, and the ability to work in structured, deadline-driven, and field-linked project environments.

Travel & Mobility Requirements Willingness to travel across Jaipur and other project locations as required. Ability to support field visits, centre checks, meetings, and implementation follow-ups. Flexibility to work in in-office and occasional field-based settings.
