About the role

Are you an experienced data professional who wants to contribute to a sector-wide data transformation programme at a world-leading university? Do you enjoy working across teams to develop solutions that are both technically robust and operationally effective?

As Senior Student Data Officer within Registry, you will play a key role in delivering the HESA in-year programme from initial scoping through to implementation. You will work closely with a range of stakeholders to embed robust, sustainable solutions that ensure Imperial meets the new statutory requirements while maintaining high-quality student data.

This is a rare and exciting opportunity to be at the heart of an important sector milestone and make a lasting impact on how the university manages its processes and data.

This is a 24-month fixed-term opportunity, with the potential to be extended further, available as either an internal secondment or a fixed-term contract.

What you would be doing

In this role, you will:

  • Analyse, scope and document the technical and operational changes required to meet HESA in-year requirements, alongside the new regulatory functionality (ERM) within the Student Records System (Banner).
  • Implement recommended solutions to address business process gaps and required mitigations in support of student-related HESA in-year requirements.
  • Collaborate with colleagues and stakeholders to ensure the University's data collection and retention mechanisms are compliant with HESA in-year requirements.
  • Stay abreast of developments relating to both the new regulatory functionality (ERM) and the HESA in-year programme, and communicate updates to stakeholders as appropriate.
  • Act as the University's subject matter expert on HESA in-year requirements.
  • Undertake testing of systems, configurations and business processes to support in-year requirements and other internal and external reporting needs.
  • Maintain detailed documentation of business requirements and processes, including mapping current and future technical specifications and operational processes.
  • Deliver training sessions to team members on Ellucian Regulatory Management functionality and HESA requirements, where necessary.
  • Promote awareness of the HESA in-year programme within Registry and across the wider University.

What we are looking for

We are looking for someone with strong technical expertise and the ability to build effective relationships with stakeholders across the University.

You will bring:

  • Proven experience working with student data in an operational environment.
  • Ability to understand complex statutory requirements and apply them within an institutional environment.
  • Ability to identify key issues, undertake further research as necessary, and propose options for resolution.
  • Ability to manage your own workload effectively, prioritising competing demands and demonstrating strong organisational skills.
  • An aptitude for quickly learning new database systems and training others in their use.
  • Flexibility and the ability to adapt to changing priorities and demands.
  • An understanding of data privacy principles, particularly when working with sensitive personal data.
  • A collaborative and diplomatic approach, with the confidence to manage expectations and communicate constraints constructively.
  • Knowledge of student systems such as Banner or SITS would be desirable.

Experience of Alteryx, Power BI, Microsoft Fabric, or other ETL tools would be advantageous.

What we can offer you

  • The opportunity to improve and streamline existing processes and shape the future of operational practice at a global top ten university.
  • The opportunity to enhance the University's data quality and assurance processes using tools such as Alteryx and Power BI.
  • A key role in helping Imperial meet an important sector milestone in statutory reporting.
  • The chance to work collaboratively across Registry, departments and ICT, influencing how business processes support external data requirements.
  • For internal candidates, an excellent secondment opportunity to broaden your technical skills and higher education knowledge in a diverse and inclusive environment.
  • A sector-leading salary and remuneration package, including 41 days' annual leave and generous pension schemes.
  • Access to a range of workplace benefits, including a flexible working policy from day one, generous family leave packages, on-site leisure facilities, and a cycle-to-work scheme.
  • Interest-free season ticket loan schemes for travel.
  • A diverse, inclusive and collaborative working culture with various staff networks and resources to support your personal and professional wellbeing.

Further information

This is a full-time, fixed-term contract until 31.07.2028 (35 hours per week), based at White City Campus with hybrid working available.

The role sits within Registry and reports to the Head of Student Data. You will work closely with Student Administration teams, academic departments and ICT to ensure that solutions are aligned with business processes and statutory requirements.
