Senior Administration Officer

Salary: £30,000 per annum
Hours: Full-time, 38 hours per week
Working Pattern: MondayFriday, 9:00am5:00pm, office based
Annual Leave: 33 days including bank holidays
Contract: Permanent, subject to a 6-month probationary period


About Safe Places for Children

Safe Places for Children is a registered charity providing specialist residential care and support to vulnerable and traumatised young people.


We provide individualised, therapeutic residential homes for young people with complex emotional, behavioural and trauma-related needs. Our approach is trauma-informed and relationship-based, focused on providing stability, safety, compassion and positive outcomes for every young person.


We are now seeking an experienced and highly organised Senior Administration Officer to provide effective administrative and operational support across our Northern Ireland services.


The Role

This is a varied and responsible position suited to an experienced administrator who is comfortable managing multiple priorities and supporting a busy organisation.


You will play a central role in the smooth running of our administrative functions, supporting senior management and working across recruitment, HR administration, office management, property and vehicle coordination, records, compliance and general business support.


You will be expected to work independently, maintain high standards of confidentiality and organisation, and ensure key administrative processes are completed accurately and on time.


Key Responsibilities

  • Coordinate the day-to-day administration and smooth running of the office.
  • Provide high-quality administrative support to senior management and operational teams.
  • Coordinate meetings and prepare minutes, reports, presentations and other business documentation.
  • Maintain effective filing, document-management, database and scheduling systems.
  • Coordinate recruitment administration from advertising through to onboarding.
  • Maintain accurate and confidential HR and employee records.
  • Monitor recruitment and compliance processes including Enhanced DBS, AccessNI and NISCC requirements.
  • Maintain training, compliance and staff records so they remain accurate and audit-ready.
  • Coordinate property maintenance, servicing, contractors and property-related schedules.
  • Support the operational setup and readiness of new residential properties.
  • Coordinate vehicle servicing, maintenance and compliance records.
  • Process and monitor invoices, receipts and administrative financial records.
  • Support financial tracking and reporting.
  • Coordinate training events and other organisational activities.
  • Act as a professional point of contact for internal and external stakeholders.
  • Support the continued development and improvement of organisational systems and processes.


The role provides support across different services and locations and acts as an important point of contact for operational matters.


About You

We are looking for someone who is organised, dependable and proactive, with the confidence to take ownership of administrative processes rather than simply wait for tasks to be allocated.


You should be comfortable working in a busy environment where priorities can change and where accuracy, confidentiality and professional communication are essential.


Essential Requirements

You will need:

  • A minimum of 23 years administrative experience, including responsibility for coordinating or overseeing processes.
  • Experience supporting senior management or leadership teams.
  • GCSE English and Maths at Grade C/4 or above, or equivalent.
  • Strong IT skills, including Microsoft Office and organisational systems.
  • Excellent organisational, communication and problem-solving skills.
  • Ability to work independently and manage competing priorities.
  • A full driving licence held for at least one year.
  • Willingness to travel when required for operational purposes.
  • Ability to complete the required enhanced criminal-record checks.


Experience in HR, recruitment, compliance or operational administration would be advantageous.
