Are you an organized, proactive Real Estate Assistant with a strong background in executive support and marketing? We're looking for someone who can manage prospecting, marketing initiatives, CRM organization, market research, and executive operations while helping keep a fast-paced commercial real estate business running smoothly.
This role is ideal for someone who enjoys wearing multiple hats, takes ownership of their work, and thrives in a detail-oriented environment.
About the Role
You'll support a commercial real estate professional by managing prospecting efforts, deal flow, marketing campaigns, CRM updates, executive support, and daily operations. Success in this role requires exceptional organization, strong communication skills, and the ability to manage multiple priorities independently.
Responsibilities
- Build targeted prospect lists and research contact information
- Upload and manage prospect data within CRM systems
- Track client interactions, meetings, and follow-up activities
- Conduct LinkedIn outreach to targeted prospects
- Assist with commercial real estate underwriting using provided software
- Prepare weekly market research reports
- Compare market data and property valuations using AI research tools
- Create listing marketing plans and presentation materials
- Respond to listing inquiries and coordinate communications
- Organize transaction files and maintain Google Drive documentation
- Prepare and manage NDAs before sharing confidential information
- Draft LinkedIn content from existing materials
- Maintain the company content calendar
- Manage email marketing campaigns using Mailchimp
- Prepare newsletters and upload marketing content to the company website
- Coordinate podcast publishing and LinkedIn Live events
- Assist with direct mail marketing campaigns
- Manage executive inbox and calendar
- Schedule meetings and coordinate appointments
- Maintain accurate CRM records in Podio
- Prepare weekly P&L reports
- Track daily business KPIs
- Deliver daily executive briefings with market news and industry updates
What We're Looking For
- Previous experience as a Real Estate Assistant, Executive Assistant, or Operations Assistant
- Strong executive support and calendar management experience
- Previous marketing coordination experience
- Experience using Mailchimp
- Experience working with CRM systems (Podio preferred)
- Excellent written and verbal English communication skills
- Strong organizational and time management skills
- High attention to detail
- Comfortable managing multiple projects simultaneously
- Experience with Google Workspace
- Ability to work independently with minimal supervision
- Experience supporting U.S.-based businesses is a strong plus
- Commercial real estate experience is a plus
