PROJECT MANAGER (PACIFIC TIME ZONE, USA) Insider Experience is a boutique DMC that delivers innovative and custom-designed incentive and corporate programs across the United States. This is an opportunity to join our growing team in a role where you will contribute to our operations and work with our CEO, and our Sales & Operations team to nurture client relationships and own the delivery of complex, high-touch programs for our blue-chip clients. This role is ideal for a senior project manager who loves fast-paced incentive operations, can juggle multiple programs at once, and sweats the details.
Location - Remote, home-based - Must be based in the Pacific time zone ; strong preference for California or Las Vegas . What you’ll own · End-to-end program delivery; from concept design with Sales through pre-planning, supplier management and onsite execution. · All the moving parts: detailed project plans and run sheets, transport and staffing plans, production schedules and onsite logistics. · Commercials: budgets, supplier negotiations, efficiencies, financial reporting, invoicing, and post-program admin. · Client experience: anticipate needs, manage expectations, and deliver service that has clients “singing our praises”. · Relationships: build repeat business with clients, hotels, and key suppliers; know when to put on a “sales hat” to spot and nurture new opportunities. · Insight: stay across destination and industry trends and bring fresh, innovative ideas into our programs. · Perform other duties and responsibilities as required. What you bring Strong knowledge of the incentive/MICE market and a track record delivering complex programs (minimum 5 years in MICE, including at least 3 years in operations and/or DMC roles managing full programs).
Proven ability to run multiple complex programs at once, process large volumes of information, and keep sight of small but critical details. High financial acumen: confident managing program budgets and reporting, with strong Excel skills. Excellent client and supplier management, written and verbal communication, and stakeholder management skills. Comfort in a fast-moving, entrepreneurial environment: you juggle competing priorities, work under pressure and tight deadlines, and manage your time independently. Experience working autonomously in a remote setup, with flexibility to adjust hours as needed for programs across time zones and onsite delivery. Transport and logistics management experience is a plus.
