Position Title: Project Coordinator
Status: Contract – 1 year duration
Hours: 37.5 hours per week
Campus/Location: North Campus; Hybrid
Minimum starting salary: $79,296

About the role
The Project Coordinator reports to the Project Manager and plays a key role in the development and implementation of an automated Battery Assembly System for the electric vehicle industry. The role also manages a portfolio of applied research projects, student capstone projects, industry events, and technical training in advanced manufacturing and digital transformation, ensuring projects are delivered on time, within scope, and aligned with strategic innovation goals.
Responsibilities
- Coordinate multiple concurrent applied research and capstone projects from initiation through completion.
- Collaborate with faculty leads, student teams, and external partners to define project scopes, deliverables, and timelines.
- Develop and maintain comprehensive project documentation including charters, scopes of work, design plans, requirements documents, schedules, weekly plans, budgets, risk logs, and reports.
- Track project progress and ensure milestones are met, adjusting plans as needed to address risks or delays.
- Facilitate regular project meetings and provide status updates to stakeholders.
- Serve as a key liaison between internal stakeholders (faculty, students, administration) and external collaborators (industry partners, funding agencies).
- Work with key team members to oversee and update procurement lists tied to Bills of Materials (BOMs) for technology build projects.
- Support partnership development by coordinating meetings, preparing presentation materials, and contributing to proposals.
- Assist in the preparation of funding applications, research proposals, and grant reporting.
- Ensure compliance with institutional policies, research ethics, and contractual obligations.
- Compile project summaries, final reports, and impact assessments.
- Work closely with academic departments to align capstone projects with industry needs and research priorities.
- Assist in the matching of student teams to suitable projects and mentors.
- Monitor project progress, providing coordination support and troubleshooting as needed.
Qualifications
Education
- Bachelor’s degree in Mechatronics, Electrical, Mechanical, Business Engineering or an equivalent field.
- PMP, CAPM, or equivalent project management certification is considered an asset.
Experience & Skills
- 3‑5 years of proven experience working in a technology‑oriented environment.
- Comfortable working in a fast‑paced technology-oriented environment.
- Strong organizational and time‑management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in project management software (e.g., MS Project, Asana, Trello, Smartsheet).
- Confident in determining key project milestones and identifying sub‑tasks for technology related projects.
- Ability to develop detailed project plans, schedules and assist in developing project scope.
- Confidence in leading, facilitating and assisting in team meetings for project kick‑off, progress and brainstorming sessions.
- Ability to maintain and update project schedules and weekly plans based on team progress while ensuring timely completion of key milestones.
- Ability to identify and plan for project risks and brainstorm solutions to address risks.
- Ability to work independently and collaboratively in a fast‑paced, interdisciplinary environment.
- High attention to detail and problem‑solving aptitude.
- Knowledge of applied research methodologies, intellectual property considerations, and technology transfer processes is a plus.
- Excellent listening skills, conflict resolution, negotiation skills, client relationship management; ability to promote excellent working relationships with both academic and non‑academic staff.
- Ability to learn new technology skills quickly and adapt to the role.
- Ability to develop and maintain marketing/social media campaigns.
