Patient Care Coordinator (Clinical Coordination & Patient Documentation) Location: Sion, Mumbai Job Type: Full-Time, Monday-Wednesday-Friday 10.30am-7.00pm, Tuesday- Thursday 9.00am-5.30pm, Saturday 10.00am-5.30pm Experience: 2+ years in clinical coordination, dental assisting, or healthcare operations Contact: [email protected] | www.tonguetieindia.com Role Purpose The Patient Care Coordinator is the central point of communication and coordination for patient care. This role combines front desk management, clinical coordination, and patient relationship management to ensure a seamless, high-touch patient experience from consultation through treatment completion. Key Responsibilities 1. Patient Coordination & Follow-ups Manage post-consultation follow-ups and ensure timely appointment bookings Maintain consistent communication with patients via WhatsApp and calls Ensure treatment continuity by tracking missed appointments and re-engaging patients Support case progression from consultation → treatment → completion 2. Clinical & Treatment Coordination Coordinate treatment schedules across departments (doctor, physio, therapy rooms) Manage: Treatment room scheduling Physiotherapy appointments General Anesthesia (GA) coordination Ensure all clinical workflows run smoothly and on time 3. Diagnostics & Documentation Coordinate intraoral scans and ensure: Proper capture Timely upload to patient folders Maintain accurate and updated patient records Assist in tracking case progress and treatment milestones 4. Patient Experience & Retention Actively engage with patients to ensure they feel improvement throughout treatment Communicate progress clearly: “You’re improving because…” Highlight small wins and milestones Identify gaps or concerns and escalate when needed Support treatment plan adjustments in coordination with the clinical team Goal: Build Trust Long-term continuation Strong patient referrals 5. International Patient Management Coordinate end-to-end journey for international patients: Appointment scheduling Treatment planning timelines Travel assistance (stay, logistics) Optional experiences (sightseeing, wellness, yoga) Ensure a smooth, concierge-level experience 6. Testimonials & Referrals Collect patient testimonials (video/written) Encourage and manage referral opportunities Build long-term relationships with satisfied patients 7.

Case Management & Internal Coordination Track treatment progress across all active cases Monitor and support transition of patients into advanced or additional treatments Work closely with doctors, therapists, and sales team for case continuity Skills Required Strong attention to detail Ability to manage clinical documentation Clear patient communication Basic understanding of airway & TMJ diagnostics and treatment Preferred Qualifications BSc Life Sciences (Biology / Biotechnology / Microbiology) BPT (Physiotherapy) BDS (Junior Dentist)
