We are looking for an experienced Personal Assistant/Office Manager to join Lumus Imaging in Brisbane, supporting the Queensland management team across executive administration, office coordination and meeting and event management. This is a busy, varied role suited to someone who enjoys being a central coordination point, working with a friendly team and helping deliver on the Lumus mission and values.
Key aspects of the role
- Performance of confidential personal assistant, secretarial, office management and other administrative duties as required by the State Manager and Leadership Team.
- Organisational support including administration and communication systems, arranging appointments, travel, accommodation, functions and events.
- End-to-end coordination and hosting of meetings, including room and technology set-up, preparing and distributing agendas and minutes, managing records, coordinating follow-up actions, and organising travel, catering and other logistics as required.
- Liaise on behalf of the Executives with a range of stakeholders, including internal teams, site leaders, the National Education team and external providers.
- Office management duties inc liaising with building management, and general maintenance of good order in the office.
- Creating presentations and reports
- WHS requirements for head office
- Event and function management, including planning catering, practical resourcing and set-up for full-day sessions, management meetings and other events across Queensland and Northern NSW.
- Provide practical office and administrative updates, support shared materials and communications, and act as a key coordination point for operational and administrative follow-up.
- Timecard management for senior management cohort and related administrative support as required.
To be considered for this role your skills and attributes should include
- Experience in providing executive support within a Corporate environment
- Excellent interpersonal skills, the ability to work effectively in a team and use initiative
- Outstanding level of attention to detail
- Strong diary and time management skills
- Ability to manage conflicting priorities and deadlines
- Advanced proficiency in the Microsoft Office Suite
- Experience in co-ordinating events and functions
- Confidence coordinating meetings and events from end to end, including set-up, logistics, stakeholder communication and follow-up actions.
- A proactive, solutions-focused approach with the ability to anticipate practical requirements and smoothly run meetings, training sessions and office activities.
