Job Description
We are seeking a highly organized, proactive Office and Operations Manager to oversee administrative operations, accounting coordination, and project support for a growing, design-forward organization operating across Canada and the United States. This role is ideal for someone who thrives in a hands‑on environment, enjoys wearing multiple hats, and takes pride in keeping operations running smoothly and efficiently. The Office and Operations Manager will play a central role in supporting day‑to‑day business functions, ensuring strong internal coordination between office, warehouse, and installation teams, and maintaining high standards of professionalism and service.
Key Responsibilities Manage incoming phone calls and customer service inquiries with professionalism and responsiveness Oversee general office administration, filing, and documentation Troubleshoot and resolve day‑to‑day office issues to ensure smooth operations Coordinate closely with warehouse and logistics teams to support order flow and fulfillment Enter, track, and manage invoices using accounting software (e.g., QuickBooks) Coordinate invoice processing and documentation with internal teams Oversee Accounts Payable (AP) and Accounts Receivable (AR) processes Prepare and review month‑end financial reports Manage monthly sales tax filings and reconciliations Process daily cheque deposits using in‑office scanning tools Schedule and coordinate third‑party installation teams Create and maintain project tracking tools, including schedules and budget tracking spreadsheets Monitor workflow to support on‑time, on‑budget project completion Act as a key point of coordination between internal teams and external partners Qualifications and Skills Strong organizational and time‑management skills with the ability to juggle multiple priorities Excellent interpersonal and communication skills Customer‑focused mindset with experience supporting sales or client relationships Ability to work independently and take ownership in a fast‑paced environment Proficiency with accounting and office software (QuickBooks, Microsoft Office, spreadsheets) Experience in construction, installations, or project‑based environments is considered an asset Why Join Opportunity to play a key role in a growing, design‑driven organization Collaborative, hands‑on work environment Exposure to diverse projects across commercial and residential spaces Competitive compensation and opportunity for growth Equal Opportunity Statement We are committed to creating an inclusive, respectful, and accessible workplace.
