From coordinating events and managing daily operations to creating a welcoming environment for employees and guests, you'll be the driving force behind a workplace where people love to work.
What You'll Do
Lead the day‑to‑day operations of office, creating an organized and engaging workplace experience for employees and visitors.
Oversee office facilities, vendors, supplies, maintenance, purchasing, budgets, and expense tracking to keep operations running efficiently and cost‑effectively.
Plan and execute team events, celebrations, employee appreciation activities, and internal gatherings that strengthen culture and connection.
Manage office logistics, including deliveries, shipping, workplace services, and front desk support, ensuring a seamless experience for employees, clients, and guests.
Culture, Engagement & Employee Experience
Champion culture by fostering a collaborative, inclusive, and engaging workplace.
Partner with leadership to deliver employee engagement initiatives, wellness programs, team‑building activities, and recognition experiences.
Coordinate company events, town halls, volunteer opportunities, social gatherings, and onboarding activities.
Serve as a trusted resource for employees, helping support workplace needs and enhancing the overall employee journey from day one.
Operations & Workflow Management
Coordinate project tracking, assignments, and follow‑up activities to keep teams aligned, accountable, and moving forward.
Support resource planning by managing PTO schedules and team coverage needs.
Maintain Salesforce data, organizational records, contact databases, and reporting to ensure accuracy and efficiency.
Oversee internal communications, distribution lists, and shared tools to keep employees informed, connected, and engaged.
Manage software licenses, subscriptions, and vendor relationships while monitoring spend and utilization.
Identify and implement process improvements that enhance workflows, efficiency, and overall operational effectiveness across Mosaic.
Executive & Leadership Support
Provide high‑level administrative support to agency leaders, managing calendars, meetings, travel, and expenses with precision and professionalism.
Prepare presentations, reports, meeting materials, and executive communications that support business objectives and decision‑making.
Coordinate leadership meetings, track action items, and drive follow‑through on key priorities and strategic initiatives.
Serve as a trusted liaison between leadership and teams, helping ensure clear communication, alignment, and execution across the organization.
Support special projects, research, and operational initiatives that contribute to Mosaic's continued growth and success.
Schedule and What We Offer
Full‑Time; 40 hours per week – Monday through Friday.
Competitive Salary Range: $70,000–$75,000 per year.

Experience planning events, engagement initiatives, and culture‑building programs that bring teams together.
Tech‑savvy and proficient with Microsoft Office and business systems; Salesforce experience is a plus.
A proactive, solutions‑oriented mindset with the ability to improve processes and keep operations running smoothly.
