About the Role

Nebulous Design Workshop Pvt. Ltd. is seeking a highly organized and proactive Office Administrator / Executive Assistant to support the Managing Director while overseeing day-to-day office administration, basic HR coordination, and accounts support. The ideal candidate should possess excellent organizational, communication, and multitasking skills, with the ability to manage confidential information and ensure smooth office operations.

Key Responsibilities

Office Administration
  • Oversee daily office operations and ensure efficient workflow across departments.
  • Manage office supplies, inventory, vendor relationships, and facility maintenance.
  • Coordinate office meetings, events, travel arrangements, and administrative logistics.
  • Maintain office records, policies, procedures, and documentation.
  • Supervise housekeeping, office support staff, and service providers.

Executive Assistance

  • Manage the Managing Director's calendar, meetings, appointments, and travel schedules.
  • Handle confidential correspondence, emails, and communications.
  • Prepare presentations, reports, meeting agendas, business documents, and presentations.
  • Coordinate internal and external meetings, record meeting minutes, and track action items.
  • Manage the Managing Director's personal, family, and travel administration, including personal appointments, travel bookings, itineraries, visa coordination, reservations, and other confidential administrative tasks.
  • Assist the Managing Director with business and personal administrative tasks as required.

HR Support

  • Maintain employee records, attendance, leave management, and HR documentation.
  • Coordinate recruitment activities, including job postings, interview scheduling, and candidate communication.
  • Support employee onboarding, documentation, and exit formalities.
  • Coordinate employee engagement initiatives and internal communication.
  • Ensure compliance with company policies and maintain HR records.

Accounts Support

  • Assist with invoice processing, petty cash management, expense tracking, and reimbursements.
  • Maintain records of bills, receipts, vendor payments, and financial documentation.
  • Coordinate with external accountants, auditors, and finance teams.
  • Support monthly reporting, document reconciliation, and audit preparation.
  • Maintain organized financial records and administrative documentation.

Preferred Candidate

  • Bachelor's degree in Business Administration, Human Resources, Commerce, or a related field.
  • 3–5 years of experience in office administration, executive assistance, HR coordination, or administrative support.
  • Prior experience supporting senior leadership or Managing Directors is highly preferred.
  • Familiarity with HR processes and basic accounting practices.
  • Experience using MS Office and HR/accounting software is preferred.
  • Strong organizational, problem-solving, and coordination skills.
  • Ability to work independently while maintaining confidentiality and professionalism.
