Women's Healthcare Australasia (WHA) is a National Health Promotion Charity that, together with our sister organisation CHA, supports our member health services to promote and deliver excellence in healthcare for women, newborns, children, young people and their families (www.wcha.asn.au ) WHA has a collaborative, positive, can-do, friendly, and hard-working team culture where each team member is a momentum contributor.

We are looking for a proactive, efficient and friendly person to join our dynamic and highly productive team in our Canberra office. This is a varied, hands-on role supporting the efficient day-to-day operation of our office as well as supporting our various teams to deliver member services through efficient and effective administrative support. The role will require you to be reliable, proactive, to have intermediate computer skills, and have the ability to effectively prioritise your workload.

The position is ideally suited to someone who enjoys variety, takes pride in keeping things running smoothly, has an eye for detail, is confident building rapport with people over the telephone and is comfortable multitasking within a dynamic and busy environment. Opportunities are available to further develop your skills through in house training and development.

This is a part-time (22 to 24hrs/ week over 4 days) support role and is well suited to parents of school aged children wishing to prioritise work/ life balance. The responsibilities are varied and interesting and the satisfaction of being part of making a difference together with a bigger team brings value and purpose to the role. Work will be undertaken on site at our offices in Mitchell, ACT.

The position involves (but is not limited to):

Front-of-Office Functions including

  • Answering and making phone calls
  • Various regular administration tasks

General Office support including but not limited to:

  • Supporting our teams to connect and provide services to our members
  • Monitoring and proactively maintaining stationery, cleaning and miscellaneous supplies
  • Maintaining a professionally presented environment within the general offices
  • Proactively supporting the teams to maintain content on our current website
  • Ensuring ongoing cleanliness of the general office environment and kitchen

Administration support to various teams as needed which may vary from month to month depending on the organisation's calendar.

SELECTION CRITERIA- The successful applicant will have/be:

  1. Demonstrated outstanding communication skills (both written & Verbal).
  2. Demonstrated ability to both multitask and manage your time to cover a diversity of responsibilities.
  3. Intermediate experience with Microsoft Office Suite (including Outlook, Word& Excel. Advantageous to have experience with Teams and SharePoint)
  4. Demonstrated Ability to problem solve and prioritise within a busy office environment.
  5. Examples of having a positive, proactive, can-do attitude who brings energy to the team and is a self-initiator.
  6. Demonstrated experience in delivering accuracy of information, speed of processing & attention to detail.
  7. Demonstrated ability to adapt to and learn new IT systems (e.g. working with CRMs).
  8. Demonstrated ability to build rapport through telephone conversations with stakeholders.
  9. Understanding of the necessity of confidentiality.
  10. Advantageous:
    • a. Experience working or volunteering for a not-for-profit organisation
    • b. Experience in the healthcare sector.
