Job Title: Manager – Administration & Operations Location: Hyderabad, India Organization: TiE Hyderabad (The Indus Entrepreneurs, Hyderabad Chapter) Employment Type: Full-time We are seeking a dependable and detail-oriented Manager – Administration & Operations to manage day-to-day office operations, vendor coordination, financial administration, and compliance. The role is critical to ensuring smooth internal functioning and operational efficiency of the organization. Key Responsibilities 1.
Office Administration & Operations • Oversee day-to-day office operations and ensure smooth functioning of the workplace. • Manage office facilities, maintenance, utilities, housekeeping, security, and infrastructure. • Maintain inventory of office supplies, equipment, and assets; ensure timely procurement and replenishment. • Support logistics and operational arrangements for internal meetings and organizational activities. 2. Procurement & Vendor Management • Identify, onboard, and manage vendors for office services, printing, events, IT, and other operational needs. • Obtain quotations, negotiate commercial terms, and process purchase orders. • Track vendor deliverables and ensure timely service completion. • Manage invoice verification, documentation, and submission for payment processing. 3. Finance & Accounts Coordination • Coordinate with the accounts/finance function for: o Invoice processing and payment scheduling o Vendor payment follow-ups o Expense tracking and documentation o Budget monitoring for administrative expenses • Maintain records of contracts, invoices, payments, and financial documentation. • Support preparation of financial data for audits and internal reporting. 4.
Compliance & Documentation • Ensure adherence to statutory and regulatory requirements applicable to a non-profit organization (GST, TDS, professional tax, etc.) in coordination with external consultants. • Maintain organizational records, agreements, MoUs, and compliance documentation. • Support timely submission of statutory filings and audit requirements. • Ensure compliance with internal policies, procurement processes, and approval workflows. 5. Process Improvement & Operational Support • Establish and streamline administrative processes and standard operating procedures (SOPs). • Support leadership with operational planning, vendor evaluations, and cost optimization. • Provide administrative support for organizational initiatives and special projects as required. Requirements • 5–10 years of experience in administration, operations, office management, or finance coordination roles. • Experience handling vendor management, procurement, and office operations. • Working knowledge of basic accounting processes, invoice management, and financial documentation. • Familiarity with statutory compliance and audit coordination (preferably for NGOs, associations, or small organizations). • Strong organizational, negotiation, and problem-solving skills. • Proficiency in MS Office (Word, Excel, PowerPoint) and basic accounting/ERP tools. • High level of integrity, ownership, and attention to detail.
