Madison Professional Group is partnering with a growing, sophisticated wealth management firm seeking an Investment Operations Manager to lead and scale the operational infrastructure of the platform. This role sits at the center of the organization—serving as a key partner to Advisors, Portfolio Managers, and Leadership—ensuring operational excellence, data integrity, and a scalable foundation for continued growth. Position Overview The Investment Operations Manager will oversee all core investment operations functions, including trading workflows, reconciliation, portfolio accounting, billing, and investment data management.
This individual will also lead process optimization initiatives, enhance system integrations, and support firm-wide operational scalability. Key Responsibilities Investment Operations Leadership Lead and oversee daily investment operations across the platform Manage, mentor, and develop operations team members Allocate resources, manage workflows, and ensure operational efficiency Serve as the primary escalation point for complex operational issues Trading & Portfolio Operations Oversee daily trading activity across custodians (Fidelity, Schwab) Ensure alignment with portfolio models, client guidelines, and allocations Monitor cash balances, account drift, and portfolio positioning Partner closely with Portfolio Managers and the Investment Team Reconciliation & Controls Oversee daily and monthly reconciliation processes across systems Identify, investigate, and resolve discrepancies Implement and maintain strong internal controls and procedures Ensure accuracy and integrity of all investment data Performance Reporting & Data Integrity Oversee portfolio performance reporting and validation Maintain consistency across custodial, portfolio, and CRM systems Support Investment Committee reporting and materials Familiarity with GIPS standards is a plus Billing Oversight Manage and review quarterly billing processes Validate fee calculations and resolve exceptions Partner with advisory teams on billing-related inquiries Custodian & Platform Management Serve as primary liaison with custodians (Fidelity, Schwab) Oversee systems such as Orion, ByAllAccounts, and related platforms Ensure integrations across systems remain accurate and efficient Process Improvement & Scalability Identify opportunities for automation and operational efficiency Implement new tools, workflows, and best practices Document processes and support onboarding of new capabilities Compliance & Cross-Functional Collaboration Partner with Compliance on regulatory requirements and audits Ensure adherence to trading policies and recordkeeping standards Collaborate across departments to resolve client and operational issues Qualifications Bachelor’s degree in Finance, Accounting, Economics, or related field Series 65 (or willingness to obtain within 60 days) 5–8+ years of experience in investment operations or wealth management Prior experience leading or mentoring team members Strong knowledge of trading, reconciliation, billing, and portfolio operations Experience working with custodians such as Fidelity or Schwab Familiarity with Orion or similar portfolio management systems Strong analytical, organizational, and problem-solving skills Preferred Qualifications CFA, CFP®, CIPM, or similar designation Experience within a growing RIA or institutional investment platform Why This Opportunity Direct impact on a growing and evolving wealth management platform Leadership visibility and influence across the organization Opportunity to build, improve, and scale operational infrastructure Collaborative, team-oriented culture focused on long-term success About Madison Professional Group At Madison Professional Group, we specialize in connecting top talent with leading firms across the wealth management and financial services landscape.
