Remote Position in Portugal
An international company operating in China, Hong Kong, Singapore, and Portugal is seeking a responsible, highly organized, and self-motivated professional for a diverse role combining operations, administration, ERP system work, and support for a construction project in Portugal.
This is a full-time remote position intended for a candidate residing in Porto and available to work regularly with company management, international teams, local suppliers, and contractors.
· Enter customer orders into the ERP system.
· Issue invoices and commercial documents.
· Follow up on orders, documents, and payments.
· Maintain ongoing communication and coordination with the company’s teams in Asia.
· Monitor operational and administrative tasks.
· Update data and generate reports from the company’s systems.
· Maintain regular and direct communication with local contractors, suppliers, and service providers.
· Follow up on quotations, purchase orders, delivery dates, and the execution of work.
· Receive and review invoices from suppliers and contractors and submit them for approval and payment.
· Monitor payments, outstanding balances, and commitments to suppliers.
· Manage and organize project documentation.
· Follow up on contracts, invoices, delivery notes, approvals, and supporting documents.
· Coordinate between company management, contractors, suppliers, and the professional parties involved in the project.
· Manage tracking tables, status updates, tasks, and schedules.
· Handle orders for products, materials, and services required for the project.
· Proactively follow up on open tasks until completion.
· Attend meetings or visit the project site in Portugal when required.
· Residence in Porto – mandatory.
· Full professional fluency in Portuguese – mandatory.
· Very good command of written and spoken English – mandatory.
· Previous experience working with ERP systems – mandatory.
· Very good knowledge of Excel and Microsoft Office applications.
· Experience working with orders, invoices, suppliers, and payments.
· Previous experience in administration, operations, finance, or project management.
· Familiarity or experience with the construction industry, contractors, or construction suppliers – a significant advantage.
· Ability to work independently from home and manage the working day in an organized manner.
· Strong organizational skills, accuracy, responsibility, and follow-up ability.
· Ability to manage several tasks and matters simultaneously.
· Assertiveness, strong communication skills, and excellent interpersonal abilities.
· Ability to work in an international environment and with teams across different time zones.
· Availability during the working hours required for communication with the company’s operations in Asia.
· A proactive and practical approach, with the ability to move tasks forward without requiring ongoing reminders.
· Previous experience in an international company.
· Experience working with suppliers, contractors, or service providers in Portugal.
· Experience in purchasing, bookkeeping, operations, or office management.
· Familiarity with commercial documents, contracts, and payment procedures.
· Experience working with companies or teams in Asia.
· Knowledge of construction, building materials, or project budget management.
· Knowledge of Chinese is an advantage but is not required.
· Full-time position.
· Remote work from home.
· The candidate must reside in Porto.
· The working day begins at 7:00 a.m., Portugal time.
· The role may include local travel for meetings with suppliers and contractors or visits to the project site.
· Ongoing work with company management and international parties.
· A suitable home-working environment, reliable internet connection, and full availability during working hours are required.
