About the Role
This is a 12-month Fixed Term Contract.
We are looking for an incredibly organised, personable, and driven HR manager with strong knowledge of Polish payroll and labour law. In this role, you will serve as the dedicated primary point of contact for our c50 Polish employees, delivering a seamless, end-to-end HR service across the full employee lifecycle. Beyond managing localized HR and payroll operations, including leading the compliant transition to an online electronic personnel file system (e-Akta) you will partner closely with our wider global HR team to assist with international administration and collaborate on strategic company-wide projects.
What you'll be doing:
- Serve as the primary point of contact and deliver a comprehensive, end-to-end HR service for our c50 Polish employees, managing everything from onboarding to offboarding.
- Act as a partner and coach to managers, offering guidance on performance management, employee relations, management practices, and labor law application for Polish teams, while offering support across the global business where needed.
- Lead the setup, configuration, and ongoing compliance of the Polish e-Akta (Electronic Personnel Files) system in accordance with statutory requirements (Parts A–E), technical metadata standards, and GDPR/RODO regulations.
- Manage the migration of existing physical paper HR archives into the online e-Akta system, including high-quality scanning, indexing, and legal certification using EU-accredited Qualified Electronic Signatures/Seals (eIDAS standard).
- Maintain 100% compliant electronic personnel records for all new joiners, leavers and existing team members, ensuring fully paperless HR workflows.
- Draft and manage all employee documentation in compliance with local regulations, including contracts, annexes, certificates, and termination documents.
- Oversee core HR administrative activities, including induction, probation reviews, maternity/family-friendly leave, and benefits administration (enrolling new joiners, removing leavers, and ensuring local compliance).
- Assist the global HR team with wider administrative transactions and onboarding/offboarding tasks for employees outside of Poland.
- Actively participate in and support global HR projects, policy rollouts, and process improvement initiatives across the broader business.
- Update and maintain basic payroll records within the payroll system (Papaya) for Polish employees, including calculations of remuneration, leave, and overtime.
- Perform monthly payroll checks and controls to ensure 100% accuracy and compliance.
- Ensure all local payroll deadlines are met consistently.
- Execute ad hoc and payroll tasks as needed.
What you have:
- Proven experience as an HR Generalist or HR Manager in Poland, with hands-on experience managing end-to-end HR operations for a headcount of similar scale (~50 employees).
- Deep, up-to-date knowledge of Polish Labor Law, compliance standards, and local payroll practices.
- Practical experience with or strong technical understanding of setting up and administering Polish e-Akta (Electronic Personnel Files) and utilizing Qualified Electronic Signatures/Seals (eIDAS standard).
- Demonstrated ability to manage document digitisation projects and cross-border GDPR/RODO compliance.
- Strong collaborative mindset with experience supporting wider global HR teams and international administration.
- High emotional intelligence and exceptional communication skills, with a track record of coaching managers at all levels.
- Hands-on experience with payroll management software (experience with Papaya Global is a plus).
- Highly organized with meticulous attention to detail and a proactive approach to problem-solving.
- Fluent in Polish and English (both written and spoken).
