About a role:
The main purpose of this role is to ensure the efficient, accurate, and timely execution of operational tasks related to HR administration and payroll processes, in compliance with defined deadlines and internal procedures. This includes the management of employee portal modules, document management, preparation of payroll inputs, and coordination of communications with employees, internal departments and other stakeholders
This role will be the first point of contact for employees, internal teams, and employee representatives regarding HR administration and payroll-related inquiries. The position also involves handling requests through ticketing tools, ensuring data quality, operational traceability, and adherence to internal protocols.
Responsibilities
- Actively participate in all stages of the employee lifecycle, including onboarding, offboarding, contract changes, and other HR administration activities.
- Support information collection, appointment coordination, communication management, and the preparation of payroll and HR administration inputs.
- Validate and process requests submitted through employee portal modules, including absences, overtime, and personal data updates.
- Respond to and resolve inquiries related to assigned employee portal modules, ensuring service quality and adherence to established standards.
- Manage requests from employees, employee representatives, and internal departments using ticketing tools, ensuring efficiency and high-quality service.
- Effectively manage communications related to HR Administration and Payroll processes, maintaining clear and professional interaction with all stakeholders.
- Analyze, validate, and prepare payroll-related data in accordance with defined requirements and deadlines.
- Generate, organize, and archive HR documentation in line with established procedures and traceability requirements.
- Ensure the accuracy, quality, and confidentiality of employee data and HR documentation.
- Contribute to continuous improvement of HR administration and employee service processes.
Requirements
- University degree or technical training in Human Resources, Labor Relations, Business Administration, or a related field.
- 3–5 years of experience in a similar HR Administration, Employee Services, or Payroll role, ideally within a Shared Services environment or a complex international organization.
- Fluent Spanish (written and spoken); English proficiency required for working in an international environment.
- Strong analytical skills and experience working with databases.
- Operational knowledge of HR administration and employee services.
- Basic knowledge of payroll processes and Spanish labor legislation.
- Previous experience working with SAP HR.
- Experience using ticketing and workflow management tools, preferably Neocase, ServiceNow, or Jira.
- Proficiency in Microsoft Office 365, especially Excel and Word.
- Excellent verbal and written communication skills.
- Strong attention to detail, data accuracy, and the ability to consistently follow established procedures.
- Ability to effectively prioritize tasks in a high-demand environment.
